Job DescriptionAbout this opportunity:
Based at the Melbourne Showgrounds, as the Event Coordinator, you will be an integral part of our Experience and Commercial team, ensuring the seamless execution of events throughout the year. From coordinating internal events to liaising with external clients and managing the planning for the exhibitors at the Melbourne Royal Show, your role will be diverse and exciting.
With the Melbourne Showgrounds being an amazing canvas, our clients transform our spaces from board meetings to gala dinners, conferences to trade shows, music festivals and everything in between.
In this role you will also be a part of the fun and excitement of the Melbourne Royal Show. For 11 days in September every year, it's all hands-on deck to help deliver the biggest event in our calendar. You will assist the commercial team by coordinating Show Exhibitors and support the internal events team at our functions. It will be fast paced, but you will always find time to watch the wood chopping, go on the dodgems and see the latest entertainment.
Key responsibilities include:
You will support two dynamic teams: Sales and Event Planning, fostering collaborative success. Some key responsibilities include:
• Managing internal event bookings.
• Managing a small portfolio of external events and creating comprehensive event plans.
• Assisting with the coordination of the Melbourne Royal Show focussing on exhibitor management.
• Completing monthly billing and reporting
• Being the go-to person for our events management system, ensuring data accuracy and timeliness.
• Providing on-site support during events.
• Providing administrative support to the department.
Desired Skills and ExperienceWhat are we looking for?
The ideal candidate will possess strong administrative abilities, demonstrating impeccable attention to detail in managing tasks and documentation. A results-driven and proactive mindset is essential, coupled with a dedication to continuous improvement and excellence in execution.
You will have exceptional communication and interpersonal skills, capable of fostering strong relationships with clients and team members alike.
The ability to collaborate effectively within a team environment while also demonstrating autonomy in task management is crucial. Candidates should be highly organised, adept at multitasking, and proficient in Microsoft Office applications. Familiarity with Momentus software is desirable, reflecting a proactive approach to mastering relevant tools and technologies.
