Supervision of students can be required individually or in groups up to 4 in controlled circumstances and where the responsibility for students remains clearly with a teacher.Certification and/or qualifications of up to three years can be required at this level.ResponsibilitiesStudent AdministrationSchedule tours of the College for prospective students and families for Assistant PrincipalsProcess student enrolments using the CASES21 Administration systemProcess student exits using the CASES21 Administration systemMaintain a strong knowledge of and experience in using the CASES21 Administration systemsAdhere to DET student enrolment and exit guidelines and regulationsLiaise with primary schools during Year 7 transition timesCommunicate enrolment information to new familiesArrange new enrolment meetings for new studentsAdhere to DET transition timelinesMaintain additional databases as directed (for example: sports permissions)Using Compass, ensure all new families are provided with their login details in a timely mannerCSEF applicationsAssist with orientation days and information evening for year 7sBus CoordinationMonitor student numbers on all bus services that depart and begin at SCSC and implement changes where necessaryAccept and process applications for the Anglesea/Bellbrae bus lines for students from SCSC, Torquay P-6 College and St Therese Catholic Primary SchoolAccept and pass on applications for Winchelsea/Moriac and Aireys/Lorne areas to the Bus Coordinator at Matthew Flinders Girls Secondary CollegeProcess all Conveyance applications submitted to the College prior to the deadlineAssess eligibility for new services or route extensionsEnter student late arrivals and early departures into CompassFollow up with parents/carers any student with unexplained absences or late arrivalsFollow up with parents/carers and students with chronic absencesCreate and distribute attendance letters to parents/guardiansUsing Compass, audit the marking of rolls each day and follow up accordinglyIdentify any attendance patterns of concern and liaise with relevant school leadersGeneral AdministrationGeneral administrative duties including answering phones, greeting visitors, responding to emails etc.Assist in the Sick Bay when requiredProcess and issue receipts to students and parents/guardians using CASES21 Finance (if required)Other DutiesUndertake other duties relevant to the field of responsibility as requested by the Business Manager or PrincipalComply with the College's policies and proceduresMaintain a healthy and safe working environmentThis position description describes in general terms the normal duties which the Administration team member is expected to undertake.
