Applicants should be able to work autonomously, have strong attention to detail and be able to manage a wide variety of tasks including assisting with social media and marketing support.STATEMENT OF DUTIESOBJECTIVESAssist in managing the Electorate Office of the Member, provide assistance to constituents and be a point of contact for the electorate, including monitoring and contributing to the Member's social media feeds and website.Provide secretarial and reception support and where appropriate represent the Member at electorate events.Commitment to data and constituent management systems that lead to efficient and consistent responses to constituents, stakeholders, and community organisations.MAJOR DUTIESManage constituent matters and inquiries to ensure effective advocacy and representation including:Act as first point of contact for enquiries from constituents, community groups and organisations;Direct constituent/stakeholder queries to relevant Government agencies;Prepare standard or case specific written responses;Maintain constituent filing system.Prepare general electorate correspondence for the Member's signature.Record incoming mail and distribute outgoing mail.Coordinate electorate appointments and invitations for the Member, including preparation of background material and speaking notes.Maintain a calendar of regular and special electorate events and coordinate the Member's attendance as appropriate.
Attend electorate events with the Member and on occasion represent the Member at events.Maintain the electorate office systems such as filing, electronic document management and workflow processes.Update, manage and monitor content on the Member's social media feeds and website.Prepare internal and external communications materials including media releases, speeches and social media posts.LEVEL OF RESPONSIBILITYThe Electorate Officer will work closely with the Member and their staff, external stakeholders and constituents.This position holds a high level of responsibility, including handling of sensitive and confidential information as well as routine constituent enquiries.Exercise discretion, initiative and judgement in determining priorities and resolving constituent issues.Ensure accurate and timely completion of administrative tasks.REPORTING STRUCTUREThe Electorate Officer will be required to work in the Member's Electorate Office, to tight deadlines and with minimal supervision.SELECTION CRITERIAA sound understanding of Tasmanian and Australian politics, and the political process.Excellent computer skills with the ability to use a range of software, including Word, Excel, PowerPoint, MS Teams and Outlook.Excellent communication skills, both written and oral.Capacity to exercise judgement and initiative in undertaking tasks.Excellent organisational and prioritising skills and the ability to work quickly and accurately under pressure.Experience managing social media campaigns and preparing media releases.Sound knowledge of and experience in office management and procedures.WORK ENVIRONMENTWorking in a political office requires a high degree of flexibility in respect to working arrangements and the capacity to work in an environment that is subject to change.Hours of work will be such hours and days as agreed between the Appointee and the Designated Manager to perform the assigned duties safely and satisfactorily.Appointment to this position will be in accordance with the terms and conditions specified in the applicable Crown Prerogative employment arrangement.WORK, HEALTH and SAFETY & CULTURAL DIVERSITYThe Ministerial and Parliamentary Service is committed to high standards of performance in respect to occupational health and safety and managing diversity.All employees are expected to participate in maintaining safe working conditions and practices and to promote and uphold the principles of fair and equitable access to employment/promotion, personal development and training and the elimination of workplace harassment and discrimination.The position is located in a smoke-free air-conditioned office.
