Editorial Administrator and PA to the EditorRole Overview:
We are seeking an experienced administrator to join our Sydney office as an editorial administrator and PA on a 12-month parental leave contract. In this role, you will be responsible for providing day-to-day administrative support to the editor and all editorial staff. This position would suit a highly organised, detail-orientated self-starter with previous administrative support experience.
Key Responsibilities:
Provide administrative support to the editor, including diary, travel, speaking engagements, expense processing, credit card reconciliations, ad-hoc research requests, and other tasks as directedCoordinate with Managing Director's EA on senior management meetings involving editorial management teamPrepare slide decks as requested by the editor and/or other senior editorsOversee administration of visits by editor-in-chief and other events as directed, including the Christmas party, federal budget and sleaze raffleManage international and production desk rosters, including leave, in conjunction with international editor and deputy production editor, including forecasting shifts to target and escalating issues to managing editor, as necessaryEnsure rosters comply with the Enterprise Agreement in terms of hours of work provisionsManage all travel bookings for the editorial business, including:alerting the managing editor to major costs andescalating issues as necessaryresolving changes and/or problems, at times outside normal working hoursManage new starter travel forms, including updating Reed and Mackay travel portal records (eg passport details)Coordinate bushfire training for staff as needed, and maintain bushfire kits across all officesPrepare Award entries (e.g. Walkley Awards) in conjunction with planning editor,Review and approve expense claims in Oracle, and complete all credit card reconciliationsMonitor the editorial email account and refer news leads, respond to queries, or escalate issues as appropriateTriage editorial phone calls when put through by reception, escalating as necessaryManage office mail in consultation with facilities/securityMaintain culture bookshelfTake minutes of WHS committee meetingsOther general administrative duties, as required, including liaison with security for staff visits and associated administrationKnowledge and experience
Previous experience in a similar administrative support roleIT skills (especially MS Office, Mac, Gmail, and Google products)Ability to perform well under pressure and meet deadlinesGood command of PowerPoint and/or other presentation toolsSkills / behaviours
