About the Role We are seeking a dedicated and highly organized Executive Assistant & Office Manager to join our client's team. This dual role is integral to operations, providing high-level support to the Chairman and ensuring the smooth running of the office. Executive Assistant to the Chairman: Manage and direct phone calls, including voicemail handling and message delivery. Draft and type correspondence, minutes, schedules, and other documents. Liaise with clients, tenants, and agents on behalf of the Chairman. Oversee extensive diary management and greet visitors. Maintain strict confidentiality and manage sensitive documents. Organize and maintain filing and electronic systems. Simplify complex data into user-friendly formats for management. Follow up on reports from Centre Managers and other departments. Handle purchase orders, account checking, and report preparation. Provide personal assistance and coordinate personal and family matters. Office Manager: Manage company policies, procedures, fire safety, and OH&S. Supervise admin staff, including reception staff training. Oversee all administrative duties and travel management for the company. Coordinate corporate functions, meetings, and staff events. Control costs related to office supplies and equipment. Prepare monthly budgets and maintain office equipment. Address day-to-day requests from the Chairman and staff. Qualifications and Experience: Minimum of 5 years experience in a similar role. Ability to work independently and as part of a team. Strong literacy, numeracy, and communication skills. Highly organized with a strong work ethic. Advanced proficiency in Microsoft Office Suite. Relevant qualifications to support the role.
