Job Summary:This role manages the Document Management program for a new Mining & Metals project.
Under the direction of the Project Manager, the document manager will develop and then manage the project document/records and perform administrative tasks in accordance with agreed and applicable governance documents.
This role will work closely with the global Document Management team to develop and implement the required processes and systems.Major Responsibilities: Utilise the agreed project Enterprise Content Management System (ECMS) - Aconex to register, control, distribute, transmit, file and archive project documents Create and manage Aconex accounts for the project team Ensure all project documents are in alignment with the issued records retention and turnover plan and update as necessary.
Communicate effectively with project team members, client, and field personnel to ensure quality, schedule and budget are met as defined.
Support quality assurance audits, internal technical reviews, client reviews, and external audits.
Prepare routine documents and reports using standard word processing, spreadsheets, or other office software as needed to support work activities.
Keeps abreast of department technologies, techniques, and services that are available.
Operates standard office equipment, copiers, and automation tools.
Provide technical guidance and training to project team members in the use of automated document management tools.
Perform / Assist in other general administrative activities as required.
Education and Experience Requirements: A bachelor's degree (or international equivalent), certificate, or other relevant certificates, couled with 5-8 years of relevant experience.
Required Knowledge and Skills: Extensive experience in document/records management.
Intermediate to advanced experience using Aconex or other ECMS's.
Experience must have been obtained within the past five years Able to demonstrate intermediate to advanced proficiency using standard office automation tools, including Microsoft Excel, Outlook, and Word Able to organise and prioritise assigned document management tasks Strong interpersonal and customer service skills Ability to work flexibly and collaboratively across all levels of the organisation Flexible and able to accept and quickly adapt to changes in work focus.
