This city shaping project, which will be delivered under a Public Private Partnership, will provide a major economic stimulus for Western Sydney.
WeBuild as a D&C Contractor member, will be responsible for the successful delivery of the design and construction elements of the project, and we are currently looking to appoint an experienced Document Controller.
Key Responsibilities: Complies with Webuild Group policies and procedures as amended from time to time Maintains organized and updated documents using document management software, Be responsible for registration, filing, retrieval, disposition, and transmission of engineering documentation Maintain the Agreement's Register updated Ensure that the Document Control procedure requirements are complied Distribution of Agreements to Vendors and Internal Stakeholders Archiving of company records and printing/copying documentation Reports on Department activity according to customer requirements Prepare monthly reports to internal management, Checking, processing, and numbering of documents (including Design documents and its revisions) and ensuring that they comply with specified format and standards.
Issue all external correspondence to external parties through database.
Issue and distribute controlled correspondence, document copies and records of latest revisions to relevant internal and/or external parties, as applicable, in a timely manner.
Maintain project-controlled documents' registers as directed by the Design Engineering manager (Management Plans, transmittals, Controlled Documents Revisions Register, etc) Upload all project Documentation into the project database in a timely manner.
Assist in the document review, approval, and verification superseding process.
Make recommendations on process improvements and functionality of document delivery associated workflows.
Generating reports of document status.
Supersede and dispose out-of-date documents in both electronic and hard copy forms in a clearly marked 'superseded' directory or storage folders.
Minimum Qualifications Relevant tertiary qualifications or equivalent experience Minimum Experience 2-3 years' experience in Administration, Document Control, Procurement or Finance Reporting Experience working on large scale construction projects or other suitable projects works.
Experience on In-eight TeamBinder and relevant softwares.
Job-Specific Skills Knowledge in use of Microsoft Office including spreadsheets, database, word processing and selected job specific software i.e., Team Binder, Aconex etc.
and the ability to rapidly input data to client's repository and retrieve records and information for accurate distribution.
Ability to organise workload and to manage a filing methods and management techniques.
Ability to manage multiple tasks and to work to deadline.
Ability to work with highly confidential and sensitive information.
High level of time management skills including the capability to work with conflicting priorities always ensuring attention to detail.
High level of interpersonal and effective communication skills to liaise with both internal JV and subcontractor entities, and its external stakeholders at all levels.
Self-motivated with the ability to work within a team or autonomously.
To provide awareness and orientation of the company's documents system to all those involved including subcontractor entities.
