Divisional Support Officer (Aps5)

About the role We are currently seeking a Divisional Support Officer at the APS5 level for a Commonwealth Government client based in Canberra CBD.
A 12-month non-ongoing APS contract is on offer, with the possibility of a 6-month extension.
For ongoing APS staff, we are also able to facilitate a s26 transfer (temporary or permanent).
Please note: only Australian citizens with the ability to obtain/maintain a security clearance can be considered for this role.
Duties: Monitor Coordination Requests:  Manage the inbox for coordination requests, ensuring timely responses and provide guidance to junior staff on routine inquiries.
Facilitate Clearances:  Coordinate necessary clearances within the division, flagging requirements in advance and following established procedures.
Weekly Updates:  Send out weekly requests for input and updates from the division, ensuring timely follow-up and collection of information needed for meetings and communications.
Administrative Support:  Provide support for various processes and requests, ensuring timely assignment of documents and drafting necessary content before finalisation.
Preparation for Estimates:  Coordinate preparation for important meetings, maintaining tracking documents and ensuring deadlines for required materials are met.
Project Contribution and Support:  Contribute to divisional projects, provide general administrative support, and step in to cover key roles as needed.
Skills and experience: Demonstrated experience providing high-level administrative support in a fast-paced environment, preferably within government.
Proficient in Microsoft Office applications or quick to learn new software.
Ability to achieve results through initiative, agility, and adaptability.
Strong communication skills, capable of delivering information clearly in various formats.
Excellent time management and attention to detail, ensuring high-quality work and effective project implementation.
Strong interpersonal skills for collaboration across teams and the ability to exercise discretion and maintain confidentiality.
