About this roleWe are recruiting for a Division Coordinator to join our Victoria office. Here's how your role will strengthen our team.
Your responsibilities Provide administrative support to the Division, Managers, and Project Manager/Estimators with a variety of tasks including processing monthly billings, supporting procurement pricing, preparing job binders and organizing documents to ensure paper flow (permits, manuals, and tender forms).Assist with tenders, such as lighting/device counts, including tender submittals and IFC to Bid reviews.Ensure proper user set-up and access in Procore project management system.Data entry and updating project management systems/CRM with information.Ensure the site has all the latest specs, shop drawings, change orders, and schedules.Update project drawings, purchase orders and job schedule with the change orders.Organize and track shop drawings, distributing as needed.Price, extend, confirm hours submitted and enter data required for extra work orders.Track shipments for orders, track backorders, and keep on top of suppliers for delivery of materials.Print and circulate a variety of reports associated to the project.Assist in division estimating and staff resource schedules.Attend site meetings and site walks to record and produce minutes.Your experience and skills High School Diploma.3+ years of experience in project coordination, administration or office related position within the construction or related field.High proficiency in MS Office (Excel, Word, Outlook).Experience managing document control, file management, scheduling, data entry, minute taking.Highly organized and attentive to detail in a fast-paced environment.Must be a team player with good interpersonal and English communication skills.Able to read electrical and/or construction drawings, an asset.Experience with AutoCAD, Accubid, MS Project, Procore are an asset.Electrical engineering degree, diploma, relevant education or Electrician TQ considered an asset.About Houle As BC's leading electrical contractor and systems integrator, we believe in delivering safe, reliable power for the future.
