Hays Gippsland are currently partnering with a well-known emergency service who are seeking a District Support Officer to join their team immediately until the end of February with the potential of an extension. You will be required to work Monday - Friday, 9am - 5pm from our clients Bairnsdale office.
You will be responsible for the following Ensure the District / Regional office is managed in an efficient and effective manner, ensuring appropriate prioritisation of issues on behalf of Management and other staff as required.
Act as the first point of call for all internal and external clients on behalf of the District / Region, acting with diplomacy, confidentiality and professionalism at all times.
Manage reports and other documentation for the District / Region, ensuring correct and appropriate retention and accessibility of these within the relevant record management system.
Prepare documents such as correspondence, presentations, briefing notes and reports for the District / Region, which may include research, sourcing and interpreting information.
Develop and maintain an effective network and co-operative relationships with internal and external client base ensuring that items raised are dealt with in a responsive, timely and professional manner.
Manage and coordinate the diaries of Managers and other staff including travel arrangements, scheduling of regular and other meetings and appointments.
Provide administrative support for meetings including but not restricted to agenda preparation, schedule meetings, catering requirements, minute taking, as well as following up on action items, initiating action and liaising with Senior Management on meeting outcomes where required.
Provide guidance to other staff, including the appropriate allocation of resources to ensure tasks are completed.
Support existing processes and workflows, ensuring transactions are carried out in line with CFA policies and procedures.
Develop, coordinate and improve local systems and processes to ensure maximum efficiency.
Undertake other projects and tasks to support Management.
What you'll need to succeed Demonstrated relevant years of experience in administration or business support within a large, complex organisation
Excellent communication and interpersonal skills, with demonstrated ability to develop and maintain strong and cooperative relationship with internal and external stakeholders at all levels
Superior organisational and time-management skills with an ability to manage and coordinate a range of office functions and projects, often complex in nature
Ability to work proactively, with minimal supervision and direction
Ability to work as a member of a team and support others where required
Ability to source and interpret information to develop professional documents and reports
Exceptional computer literacy skills including Microsoft Office
Current employee Working with Children's Check or willing to obtain
Clear Police Check or willing to obtain
