About the role:The Customer Service – Independent Pharmacies responsibility is to provide exceptional customer service to independent pharmacies by ensuring accurate and efficient processing of orders, managing inventory levels, and addressing any supply chain issues.
This position is responsible for maintaining clear communication with pharmacy customers regarding stock availability, order delivery status, invoicing, and returns.
You will act as a key point of contact between independent pharmacies, suppliers, and the internal team to ensure smooth, timely deliveries, while proactively addressing any issues to ensure customer satisfaction.
Role & Responsibilities:Order Management & Processing:Process Pharmacy Orders: Accurately input all orders (via email, phone, EDI, or other formats) into the system within 24 business hours.Ensure Stock Availability: Identify out-of-stock or backordered items and communicate the status to customers in a timely manner.Monitor Order Fulfilment: Track orders, monitor inventory levels, and liaise with the warehouse and logistics teams to ensure timely delivery to independent pharmacies.Inventory Management:Inventory Reconciliation: Regularly update inventory records, ensuring that stock levels are accurate in the system and adjusted for returns or damaged items.Cycle Counts and Shrinkage: Participate in regular stock counts and ensure discrepancies are identified and resolved with the warehouse team.Customer Support & Relationship Management:Provide Excellent Customer Service: Serve as the first point of contact for independent pharmacies regarding order inquiries, stock levels, delivery updates, and returns.Build Strong Relationships: Establish and maintain effective, long-term relationships with pharmacy customers, ensuring they feel supported and valued.Training & Support: Assist pharmacies in understanding how to place orders, use your company's portal or system, and manage stock replenishments effectively.Skills & Experience:Minimum of 2 years' experience in a customer service or order management role, preferably in the healthcare, pharmacy, or FMCG sector.Experience with managing orders, inventory, and invoicing in a fast-paced environment.Ability to quickly identify and resolve customer issues, discrepancies, and supply chain challenges.Excellent verbal and written communication skills, with the ability to engage customers in a professional and friendly manner.High level of accuracy when processing orders, generating invoices, and maintaining stock records.Ability to handle multiple tasks simultaneously and work under pressure to meet deadlines.Intermediate to Advanced MS Office: Especially Excel for reporting and data analysis.Basic Knowledge of the Pharmaceutical Industry: Understanding of the importance of accurate orders and stock management for pharmacies.Benefits & perks:At DBG Health, we offer more than just a job – we offer a dynamic and supportive work environment where you can make a real impact.
