Position Overview:The Crew Coordinator is a key role in ensuring the smooth operation of PWB Vegetation Management's field activities.
The role involves coordinating field staff rosters, managing travel arrangements, and overseeing crew qualifications and compliance.
The Crew Coordinator will also liaise with clients and assist in recruitment efforts, playing an integral part in maintaining high standards of safety, efficiency, and professionalism.
Key Responsibilities: Field Staff Rostering:Develop and manage rosters to ensure adequate staffing levels for all projects.
Communicate roster changes to staff and clients as required.Travel Bookings:Arrange flights, accommodation, and other travel needs for field staff, ensuring efficiency and cost-effectiveness.
Coordinate travel changes or disruptions promptly.Client Reporting:Provide clients with up-to-date reports on crew locations, work progress, and log-on/log-off data.
Address client inquiries and communicate work changes efficiently.Crew Training Matrix:Maintain a current training matrix to ensure all crew members are qualified for their tasks.
Schedule refresher training to ensure operational continuity and compliance.Staff Recruitment:Assist in the recruitment process by vetting candidates, arranging interviews, and collecting qualifications from potential hires.
Support onboarding processes to integrate new staff effectively.Site Authorisations:Manage site authorisations by submitting necessary documentation for staff.
Ensure all site access requirements are met promptly.PPE and Equipment Ordering:Procure Personal Protective Equipment (PPE) and field equipment as needed.
Track orders to ensure timely delivery and address any supplier issues.General Administrative Tasks:Answer phone calls and respond to general inquiries.
Handle incoming and outgoing mail and maintain organised filing systems.Qualifications and Skills:• Experience in coordinating crews or teams, preferably within the utilities, construction, or vegetation management industries in Australia.• Proficient in Microsoft Office Suite and other relevant software (e.g., Excel, Word, Outlook).• Strong organisational and time-management skills.• Excellent verbal and written communication abilities.• Attention to detail and high level of accuracy in documentation.• Understanding of Australian workplace safety and compliance requirements is highly desirable.
