Full time, Permanent position.Sydney CBD location.Senior administrative opportunity supporting the CEO, COO and wider team.Salary dependent on experience: Range falls between $90,000 - $100,000 + superannuation. THE OPPORTUNITY To provide proactive administrative management and advice to senior management to enable the efficient running of the Sydney office, supporting the amicaa business as it grows. Importantly, you will keep in touch with the mood and culture of amicaa teams, assisting senior management in managing and supporting a positive team environment.
Key responsibilities are spread across operations, marketing and distribution, financial management, risk and compliance and general administration. Some key responsibilities may include:
Developing and managing amicaa's administrative processes, providing guidelines to staff and monitoring compliance of these processes.Assisting senior management with resource management issues and initiatives that affect the organisationWork with senior members to prepare documents, maintain financial spreadsheets, develop and maintain of presentations.Support the administration and daily operations of the amicaa business, providing support to senior management in monitoring compliance requirements and regulatory tasks for the business.Attend Committee and Board meetings as required, taking notes and preparing formal meeting minutes for review and approval. Note action items and follow up on progress/completion as required.Providing information and support for the preparation of financial reports and budgets.Update marketing presentation material (typically PowerPoint or word documents) as required and assist across a range of marketing and distribution tasks in partnership with the team. Maintain amicaa's website, preparation/posting of news updates and direct email marketing to client contact lists. KEY CRITERIA - ABOUT OUR IDEAL CANDIDATE Prior experience as an administrative manager, business services manager, corporate services manager or a position that is similar in nature is essential.Proven track record of managing, storing and drafting confidential documents or taking notes at senior meetings that require sensitive information to remain private and confidential.Strong attention to detail and commitment to providing high quality admin service and support, with an ability to understand financial services risk and compliance obligationsAbility to manage effective, professional and courteous relationships with people of all backgrounds (within and outside amicaa) in line with amicaa's values.Ability to manage sensitive and confidential information professionally.Ability to adapt work style to support the workflow/needs of different individuals.Ability to problem solve as required and work independently.Strong skills in use of Microsoft Office packages (Word, Excel, PowerPoint).Strong communication skills (written and oral) to always provide clear and effective communications.Efficient time manager, with ability to manage conflicting priorities when they arise.Ability to learn and adopt new systems and processes as the amicaa business is established and adopts systems for expense management, travel arrangements, HR support processes etc Relevant vocational training in administrative support or business studies. Highly advantageous to your application would be a master's in business administration or specific studies/qualifications in project management.
