Location: Melbourne CBD Employment Type: Full-Time, Permanent Scope & Overall Purpose of the Job: We are looking for a professional and detail-oriented Corporate Receptionist to be the welcoming face of our organization.
In this role, you will ensure a professional company image through in-person and phone interactions, attend to visitors, and provide administrative support.
Your efforts will be crucial in maintaining smooth daily operations and creating a positive experience for all visitors and staff.
Primary Duties & Responsibilities: Visitor & Call Management: Greet all visitors with professionalism and courtesy, ensuring they are signed in and promptly directed to the appropriate staff.
Answer and re-direct all incoming calls efficiently and professionally.
Mail & Courier Handling: Collect, sort, and distribute all incoming mail and courier parcels daily.
Ensure timely handover and provide tracking details as needed.
Building & IT Coordination: Maintain accurate building pass data, liaise with the building manager, and work with IT to ensure office equipment is fully operational.
Meeting Room & Office Management: Assist with setting up and booking meeting rooms, manage stationary orders, and oversee kitchen supplies and maintenance.
Communication Hub: Act as the central point of communication for office updates, building works, and safety notices.
Administrative Support: Manage invoicing, secure bin collections, visitor sign-in systems, and more.
Safety & Compliance: Serve as a fire warden and first aid officer, working with the Safety Committee to ensure the building meets all safety requirements.
Required Skills & Capabilities: Excellent phone manner, professional oral communication skills, and the ability to communicate effectively with people at all levels, including visitors.
Strong written communication skills, with the capacity to manage conflicts and handle stressful situations calmly.
Intermediate IT skills, including data entry and familiarity with end-user environments like Windows, macOS, and browser tools.
Strong organizational skills with the ability to prioritize tasks, meet deadlines, and maintain attention to detail.
Knowledge of customer service principles and practices, and a proactive approach to managing workloads.
Ability to work well under pressure, take direction, and contribute to the efficiency and productivity of the office.
