Contracts Administration (Administration & Office Support) Full time About Inland Rail
The Inland Rail Program is a 1600km rail infrastructure project stretching from Brisbane to Melbourne incorporating new and existing rail track. The program includes the upgrading of existing standard gauge track, the enhancement of existing standard gauge track to cater for double stacking and the construction of new standard gauge links comprising of viaducts, tunnels, rail track, crossings and bridges.
About the opportunity
In this role, you'll support the Finance Team and the broader Inland Rail business by managing contract administration, procurement, and invoice processing activities for the Inland Rail Program. Key responsibilities include processing and verifying invoices, managing contract variations, assisting project managers with business cases, overseeing the full contract lifecycle up to the value of 1 million dollars and below, while maintaining key systems and registers.
Key responsibilities will include but are not limited to: Review invoices to validate compliance against purchase orders and contracts and arrange approvals based on relevant delegations of authority.Ensure timely and accurate processing of invoices for goods and services to ensure claims accurately reflect work undertaken and payment of suppliers meet business requirements.Records management for contract documentation into relevant systems and databases.Processing of purchase orders between the company cost and contract system and financial systems (Prism and CI Financials).Support Contract and Purchase Order reviews and maintenance on a regular basis including contract closeouts and updating of records.Support the business with contract management including enquiries to support Vendor set up, raising of documentation for contact variations and working with procurement to support effective end to end management of contracts and purchase orders.Ensure financial and contractual documentation is accurate, recorded and distributed in a timely manner.Support communication with the business and suppliers relating to purchase orders and contracts.About You
To be successful in this role you will need to be detail-oriented, organised, and an analytical thinker with attention for detail. The ability to be adaptable is important, as you will often handle multiple tasks and support various projects. Be proactive, results-driven while having a positive can-do attitude.
To ensure success in this position, applicants will be able to demonstrate: Cert IV in Purchasing or qualifications in fields such as procurement, business, commerce, or related discipline or equivalent experience in a similar role.Experience with purchasing, contracts or finance systems and a good knowledge of the relevant process flows.Clear and concise oral and written communications skills and the ability to communicate with all levels of the company, contractor representatives and management.High level of proficiency in utilising Microsoft Office products.Ability to work under pressure managing competing workloads, demonstrate resilience, meet deadlines and provide additional support within the Commercial Team when required.A clear understanding of ethical practices and probity within a large organisation.Willingness to work as part of a team, and autonomously when required, to meet deadlines and provide additional support to the Finance Team and wider Inland Rail business when requested to do so.Experience working on major projects with knowledge of rail infrastructure or similar.System experience with Prism, CI Financials (Technology One) or other similar Accounting, ERP and Procurement Contract Management systems.Document Management System (Aconex), SharePoint or other similar workflow Document Management and Storage systems.What you'll be joining You will join one of the largest infrastructure programs in Australia.This project will generate thousands of jobs and billions of dollars in local investment, boosting regional economies and communities right along the alignment.Inland Rail is proud to have over 40% female representation and we would like to see these numbers grow.Inland Rail is an Agile working environment in our State-of-the Art office embracing flexible working conditions.Inland Rail adopted a collaborative approach to the delivery of the project, leading all parties involved to work toward the same goal.
