Commercial Property Controller (Retail)

We currently have an exciting opportunity for a dynamic and energetic Commercial Property Controller to join the Retail team at Melbourne Airport on a 12-month fixed term contract. Reporting to the Finance Business Partner – Commercial Property & Retail, the position of the Commercial Property Controller is responsible for assisting with the preparation of tenancy related documentation and to engage with internal and external stakeholders from preparation to execution of documents. The Commercial Property Controller (Retail) oversees and tracks the leases for Retail tenancies and is accountable for the accurate and timely provision of new and existing contract information to be held in the Retail Management System (FLEX Property).

Key Responsibilities:The role's duties and accountabilities include, but are not limited to:
Ensure billing and other financial transactions are being processed accurately, and ensuring the data is in accordance with the terms and charges set out in agreements, as well as monitoring agreement terms and expiries.Process the leases to make sure all the information is accurate and logged onto a database and filed appropriately.Assist in the preparation of tenancy related documentationEngage with internal and external stakeholders to provide information and resolve queries to ensure the timely execution of documentsEnsure all required documentation is included with the lease prior to internal approvalRespond to tenant queries regarding leases, concession agreements and licenses throughout the entire leasing processTrack the status of retail leasing matters and updating various internal stakeholdersMonitor of tenancy related leases, concession agreements and licensesAssist in accurate data entry and preparation of monthly billing data and revenue accruals.Identify expiring agreements and make recommendations to Head of Leasing and Commercial regarding renewal, holdover, termination.Create and maintain Site and Lease recordsIdentify and liaise with Retail Operations regarding site inspection to meet safety standardsLiaise with tenants regarding rental statement issues/errorAssist Finance and Retail teams in following up retailers for sales as requiredMinimum Requirements:The successful candidate will have:
Exposure to leasing, or an understanding of property and/legal documentationExperience working in a contract management or similar data management roleHighly developed stakeholder management skillsExcellent data entry skills, high level of accuracyWell-developed written (including report writing) and verbal communication skillsExperience and skill in prioritising and managing multiple projects/tasksExperience using MS Office, with intermediate to advanced Excel skills in particularPersuasive, customer service skillsWe understand that not everyone will feel they meet all of these 100%.
