Exciting opportunity for an Administration Officer to help support the commercial division. Your new company
Hays Hobart is excited to be partnering with this well established business based in the south of Hobart, which operates within the commercial, residential and government sectors. They are seeking an experienced Officer Administrator to help support the commercial division of the business.
Your new role
As the Administration Officer, your core responsibility will be to support the Company Director and Commercial Project Coordinator as well as assist all the administration functions within the office. Your responsibilities will include, but not limited to;
Reviewing of daily tasks to assess priorities Setup/allocate any admin requirements for commercial technical staff each day Arrange commercial inspections as required Take ownership of commercial emails and filing and redirect/load tasks as required Managing phone traffic for the commercial team In conjunction with the Director and Director's PA - Manage Director's diary Working with the commercial administration team, act as reference/coordination point for important daily/weekly tasks and/or deadlines for the Director and ensure all required items for site visits/meetings etc are prepared and delivered to the Director prior to the event Schedule, attend, take and distribute minutes for weekly commercial meetings Prepare non-complex commercial invoicing as directed by Commercial Project Manager Prepare non-complex fee proposals as directed by the Commercial Project Manager Audit files - adhoc Provide backup and support to the commercial administration team as required What you'll need to succeed
As the successful candidate, you'll have demonstrated experience in Administration or similar role, excellent communication skills (both written and verbal), and a proven track record working in a varied, busy environment where you have developed the ability to work well under pressure. You'll also have the following;
Highly proficient in Microsoft Office Suite, especially Excel and Word. Highly organised and ability to execute procedures Supporting and cooperating nature Adaptable and manages pressure effectively Personable Analytical thinking What you'll get in return
