Why Your Role Matters
The Co-op Program Support Assistant plays an important role within the Pro Vice-Chancellor Education & Student Experience portfolio by providing effective support and co-ordination for Co-op Internships. The role provides support for the delivery and development of internship opportunities for UNSW students with Co-op industry partners, and the implementation of Co-op events, initiatives & projects. The role reports to the Co-op Internship Partner and has no direct reports.
This is a new role – fixed term, until December 2025. We would be looking at an ideal start date of January 2025.
Main responsibilities Summary
Provide administrative support & record keeping for the Internship program e.g. develop and maintain Co-op systems, spreadsheets, databases, dashboards, websites and other administrative systems
Provide general advice relating to these administrative guidelines, processes and activities internally
Respond to a range of enquiries regarding the Co-op Program and Co-op Internships from internal and external stakeholders, and initiate, action or escalate as necessary
Support the internship application process including advertising internships, processing application documents, scheduling interviews and communicating with candidates
Maintain records in accordance with University policies and practices, and create and maintain data and documentation for reports to demonstrate the effectiveness of programs
Develop, foster, and maintain productive working relationships with the Co-op Program team, PVCSS Office and portfolio teams, relevant staff in faculties and divisions, and other internal and external stakeholders to deliver Co-op internship opportunities

Who You Are
We are looking for someone who is aligned with UNSW's vision and values, who has great attention to detail and who is agile and flexible in responding to changing priorities. . We'd also love you to come equipped with:
Previous experience in a customer service role and/or administrative role, with the confidence to speak to multiple stakeholders from different backgrounds over the phone and emails. Previous experience in higher education will be highly regarded
Demonstrated capacity to work effectively in a small, agile team
Demonstrated experience with excel
Demonstrated time management and organisational skills with the ability to handle multiple tasks and work to deadlines
A passion for student experience and for improving processes
Working hours are Monday to Friday, business hours. Whilst there is some flexibility to work from home from time to time, the team has a minimum of 3 days per week onsite as the team is student-facing.
