Client Services Coordinator

Key Responsibilities
• Rostering & Scheduling: Update rosters and fill gaps in consultation with the Comunity Access Manager (CAM). Provide rostering and administrative support to the Allied Health team.
• Service Agreements & Quotes: Develop service agreements and quotes under the supervision of the CAM.
• Onboarding: Coordinate the onboarding of new team members in collaboration with the management team.
• Care Plans & Risk Assessments: Update and maintain care plans and risk assessments in consultation with the relevant manager.
• Client Management System: Set up initial leads for new clients and mentors in the Rostering System
• Roster Changes: Monitor Messages 'Roster Alterations Group' for real-time updates, making necessary adjustments on the rostering system or escalating complex queries to the CAM as needed.
• Office IT Support: Provide day-to-day IT support within the office.
• Data Management: Enter data, manage databases, and maintain an online data management system.
• Administrative Tasks:
• Answer and make phone calls.
• Schedule and organise appointments, meetings, and record minutes as needed.
• Prepare and distribute emails, memos, letters, faxes, and forms.
• Assist in the creation of scheduled reports and update office policies and procedures.
• Order office supplies, research deals, and maintain contact lists.
• Office & Visitor Support: Welcome and assist office visitors, act as the main contact for internal and external clients, and handle requests and queries from senior managers.
• Purchasing & Research: Support organizational purchasing needs and assist with research on vendors and suppliers as directed by the management team.
• Team Support & Mentoring: Offer guidance and mentoring to team members as required.
Organizational Responsibilities
• Collaborate within a team to enhance support services for individuals with disabilities, their families, and carers.
• Participate in ongoing learning, supervision, and quality improvement activities.
• Attend relevant meetings and contribute to a culture of continuous improvement.
Job Type: Full-time
Pay: $80,000.00 – $90,000.00 per year
