The opportunity We are seeking an experienced, passionate administration assistant to join our growing Financial Planning team in our Devonport office. This opportunity will suit an experienced administrator with outstanding client service ability, team focus and organisational skills. You will provide support to our financial advisers, dealing directly with team members and clients, as well as performing ad-hoc administrative functions. You will deliver a broad and diverse range of functions from addressing client needs to providing administration support to your team and managing databases.
Our preference is for part-time hours of 22.5 hours per week, with some flexibility for the right applicant. This is a rare opportunity to join a fun and supportive professional services team who contribute positively to the broader community.

The role This is a diverse role, based in our Devonport office. Your focus will be on providing exceptional services to our clients and administrative support to our financial planning team. Supported by an experienced team, you will work closely with our financial advisers and paraplanners to ensure we deliver excellent client service, including responsibility for:
Client communications
Database management
Preparing, collating, and sending documents
You will also:
Communicate with a variety of internal and external stakeholders
Build genuine relationships with our clients and become a direct point of contact for client requests and inquiries
Approach your role with a mindset of continuous improvement and facilitate a culture of continuous improvement
Assist the administration team with various functions to ensure the office runs smoothly, including setting up meetings, processing mail, and other ad-hoc administrative duties

About you The role will suit someone with administration experience, who shows a true passion for interacting with and assisting clients and team members. You need to be an approachable people-person who has an immense care-factor. You will also have a commitment to maintaining the highest quality standards, and love to be organised and work on multiple tasks at one time.
To secure this role, you'll need to show us that you:
Have experience providing administration support
Have a positive 'can do' attitude and relish being a 'go-to' person
Are confident, polite and empathetic in your dealings with a broad range of people
Are well-spoken, well presented, and have strong written communication skills
Can handle conflicting priorities and meet deadlines whilst maintaining composure, balancing timeliness with quality and accuracy
Can think on your feet, act independently within established guidelines, exercise discretion, apply good judgement, and be proactive
Excel in a collaborative team environment
Have sound computer skills with a minimum of basic skills in Microsoft Outlook, Excel and Word
Embrace change, learn continuously, adapt, and quickly grasp new systems and technologies
Proactively contribute to the continuous improvement of systems, processes and procedures
Will commit to our values and ethical principles
