As you will be representing Evolution in a frontline position, you will be well-groomed with good communication skills. You will also need to take ownership of your role and look to always improve on ways to carry out your responsibilities.
Your key responsibilities will include: Effective and professional telephone operation as you will work as our primary receptionist. Provide quality service, greeting our clients with a smile and taking the time to establish a relationship making the clients feel comfortable and welcome. Ensuring the reception area and meeting rooms are presentable. Maintain regular communication with clients to address their needs and provide updates on their work. Schedule meetings and appointments for clients and accounting professionals, ensuring that deadlines are met. Preparing forms, correspondence and other documents accurately as required in a secure and efficient manner including the use of our cloud-based software. Assist in the onboarding of new clients, ensuring all necessary paperwork and information are collected and processed. Prepare and send invoices to clients when required, take payments and carry out banking as required. Monitor outstanding tasks and follow up with clients or internal teams to ensure timely completion of work and deadlines are met. Address client issues or concerns promptly, coordinating with accountants, financial planners and team as needed. Provide administrative support to the accounting team and financial planning team as required, including organising meetings, handling correspondence. Work to maintain and strengthen client relationships, addressing their needs and identifying opportunities. Learn and utilise our cloud based software and tools including the practice management system CCH to streamline client service and reporting. Collaborate with other team members to provide valuable support, including accountants, financial planners, tax professionals, and operational team members. A quick learner who looks for ways to improve.
