Job Description Reporting to the Director of Catering and/or the Director of Conference Services, the Catering Coordinator will be responsible for the following: Prepare and distribute material and correspondence relating to the successful operation of the department such as contracts, letters and banquet event orders Act as the departmental liaison with guests in the absence of the Director and the Catering/Event Managers Assist with Group Pick-up reports, Event order detailing, Group Resumes Book internal hotel events Establish/maintain necessary procedures to ensure other departments are completely informed, i.e.: daily distribution, change log Share mail distribution Ensure prompt and courteous service is extended to both internal and external guests Effectively respond to general inquiries on the telephone and in person, and direct them appropriately Responsible for preparing and distributing the function sheets on a daily/weekly basis. This includes the prompt distribution of last minute changes to affected departments Administrative duties such as lobby board postings, daily signage, preparing weekly agenda and minutes, purchase orders, photocopying, faxing, etc. Assist the Catering and Conference Services as required Other duties and projects as assigned

Qualifications Knowledge of Food and Beverage and Banquet Services a strong asset Previous Administrative experience Bilingual in both official languages an asset Excellent computer skills with Word, Excel, Outlook Ability to organize files and office systems Must be able to work independently and maintain a positive attitude within a very busy environment Ability to multi-task and take directions from numerous sources Ability to prioritize, maintain control over workloads and perform under pressure Excellent interpersonal and communication skills, both written and verbal Outstanding attention to detail and tenacious in pursuit of excellence Professional appearance and demeanor with a professional telephone manner Must be a proven team player who is motivated and can take initiative Must be flexible in hours of work
