What's possible? As an Office Support Specialist, you'll play a crucial role in ensuring the efficient operation of our Portfolio Solutions team. Your responsibilities will include managing Ariba and Concur activities, providing high-level administrative support, and organizing various team activities. You'll be instrumental in streamlining processes, handling complex tasks, and maintaining smooth communication within our global operations.
Key responsibilities will include: Administrative Excellence: Provide timely and accurate administrative support, including processing purchase orders, invoices, and vendor setups in Ariba. System Management: Act as the Ariba and Concur champion, managing expense reconciliations and offering global team support. Meeting Coordination: Schedule and organize meetings, prepare agendas, take minutes, and ensure timely distribution of actions. Report & Presentation Preparation: Create, format, and proofread reports and presentations, including designing visuals and charts. Travel & Event Management: Organize travel arrangements, business schedules, and events, and manage travel budgets. Data Management: Gather and present market data, maintain databases, and ensure accurate global distribution. What you'll need to bring: We're looking for someone with strong administrative skills and the ability to manage complex tasks efficiently. A high level of proficiency in Microsoft Office Suite and Ariba is essential, while experience with Concur and creative design software is a plus.
You'll also need:
Proven Experience: Solid administrative experience dealing with senior leaders and managing competing demands. Excellent Communication: Strong verbal and written communication skills, with the ability to network and present effectively. Organizational Skills: Demonstrated ability to handle ambiguity, prioritize tasks, and meet deadlines. Technical Proficiency: Proficiency in Microsoft Office Suite and Ariba; experience with Concur and creative design software is advantageous.
