We are seeking a motivated trainee to provide clerical support to our team of conveyancing solicitors.
You will work alongside and complement our existing team of assistants so that you are fully supported and have staff you can rely on.
Ideally seeking a candidate who resides within an acceptable distance from our Narangba office which is located in our Host Employer's family home (preferably within 30klm).
You'll have the opportunity to earn while you learn, gaining valuable experience in the workplace in various aspects of Business operations working towards achieving a Certificate III in Business.
Key Responsibilities: Providing support and clerical assistance to our team of solicitors and support staff within a busy conveyancing firm.
You must maintain client confidentiality and display a high level of attention to detail.
You will need to keep track of critical deadlines and maintain our high level of standards with other industry professionals .
You will show initiative and take ownership of your work, while also having the ability to work autonomously and as a part of a team.
Front Office Management: Greet clients, answer phone calls, and manage incoming inquiries in a professional and friendly manner.
Maintain a tidy and organised front office area.
Administrative Support: Oversee day-to-day office operations, including managing supplies, office equipment, and general office upkeep.
Manage email correspondence and ensure timely responses.
Support agents and staff with administrative tasks as needed Skills & Qualifications: Customer Service: Strong interpersonal skills and a customer-focused attitude, with the ability to build and maintain relationships with clients.
Attention to Detail: High level of accuracy in managing contracts and administrative work.
Organisational Skills: Excellent time management and multitasking abilities, with a focus on prioritizing tasks effectively.
Computer Proficiency: Competence in office software (MS Office, Google Suite) and real estate-specific platforms (e.g., VaultRE or similar).
Communication: Strong written and verbal communication skills, with the ability to interact professionally with clients, agents, and service providers.
Client Relationship Management: Act as a point of contact for clients, providing information and addressing inquiries.
Ensure clients receive excellent customer service throughout their experience with our agency.
Contract Processing: Manage the processing of property contracts.
Ensure accuracy and compliance with legal standards and agency policies.
Liaise with clients, solicitors, and external parties to ensure smooth contract completion.
Track key dates, milestones, and ensure follow-ups are handled efficiently.
Financial Administration: Assist with invoicing, payments, and managing basic bookkeeping tasks.
Liaise with external accountants or finance teams to ensure timely reporting and compliance.
Ideal Candidate Requirements: Eligible to undertake a Traineeship Professional, well-presented, enthusiastic, reliable and punctual Motivated with a positive attitude towards learning and development General computer skills, experience with Microsoft Office Suite preferred Possession of a drivers licence and access to own transport is preferred and highly regarded Benefits: Award wages (paid fortnightly) + Super + Holiday Leave Loading + Allowances.
Full Time employment/contract.
Upon completion: Certificate III in Business.
