Agriculture and Fisheries (Organisation site: )Business Support; National Red Imported Fire Ant Eradication Program; Biosecurity Queensland; BerrinbaFind purpose you feel, impact you see and a legacy you bring to life. #DAFcareersAs our Business Support Officer, you will:Provide high level, confidential secretarial and support functions, including diary management and email monitoring to two Program Directors.Use discretion, autonomously redirect, and respond to matters within defined boundaries including preventing unnecessary interruptions, and screening telephone calls.Liaise with relevant stakeholders to ensure that the Program Directors being supported have the necessary papers, briefings and appropriate attendees for meetings.Use effective problem solving to resolve issues in situations where procedures may not be entirely defined for both internal and external stakeholders.Ensure all paper and electronic records are maintained as per established information management principles, ensuring that all sensitive information is recorded in detail and kept secure and in absolute confidence.Arrange appointments, meetings and events including booking venues exercising assigned financial, purchasing, and administrative authorities, travel and accommodation bookings and expense claims, information distribution and communiques/correspondence for the Directors being supported.Provide support for meetings chaired by the Directors being supported including preparing agendas, papers and minutes, prioritising correspondence, and responding to outstanding queries and requests for information.Work closely with business units being supported to ensure departmental standards are met for all outgoing correspondence.Support the Program Directors in managing correspondence flowing through their relevant business units and ensure all deadlines are met for all departmental and ministerial related documentation including relevant reporting and request deadlines within the areas of responsibility of the Directors being supported.Maintain a high level of accuracy in all correspondence and administrative documents, using appropriate software programs and adhering to departmental standards, including the use of style guides, templates, and other corporate standards.Support the Program with other duties consistent with the duties and responsibilities of the position as directed by the Directors being supported or nominated delegate, including secretarial, receptionist and routine resolution of customer concerns whenever necessary.Actively participate in a high performing team by contributing to the quality improvement of operating procedures and checking of outputs.Support a positive culture within the office utilising strong interpersonal communication to enable the delivery of effective and timely administrative services.Mandatory requirements• "C" class driver's licenceWhile there are no mandatory qualifications for this role, it would be beneficial for the successful applicant to possess the following to support the successful performance of the role:Sound understanding of executive support administration, human resources, work health and safety and finance support that has been acquired through experience, training or relevant qualifications.Word processing and spreadsheet experience, and ability to use enterprise systems and web-based applications, including eDocs, MECS and SharePoint.Ability to communicate with empathy and influence to address problems and obtain cooperation and assistance in meeting required objectives.Join us and help preserve and protect Queensland's biosecurity.
