The role: We currently have an opportunity for an Administration Trainee to join the organisation and be a key member of CareFlight's Administration Team, to support our Northern Operations divisions.
Reporting to the Senior Human Resources Manager Northern Operations you will provide general reception duties, general administration duties and basic housekeeping services to onsite accommodation.
You will also provide excellent Administration support and make a positive contribution to the organisation's culture.
Responsibilities include: Answering and directing incoming telephone calls.
Take and deliver messages accurately and in a timely manner.
Responding to incoming email enquiries.
Greet and direct visitors.
Maintain visitor register.
Responsible for booking of meeting rooms and maintaining room cleanliness and set-up.
Meeting minute taking for meetings across all departments.
Receive and sort incoming mail and preparation of outgoing mail.
Arrange catering as requested.
Tidy and maintain the reception area and meeting rooms.
Maintain supplies to crew room/kitchen in CareFlight Hangars 1, 2 and Gove, including consumables shopping and maintenance of crew room requirements.
Manage the onsite accommodation at the CareFlight Hangar 1, including rooms are ready for new arrivals and inspect to ensure they are left tidy when vacated.
Be a central point of contact for all staff issues and inquiries in relation to onsite accommodation and for all maintenance requests and maintenance issues.
Coordinate and purchase stationery, including stocking and maintenance of printers and photocopiers.
Distribute and reconcile cab vouchers.
Maintain and reconcile petty cash.
Manual and electronic filing of medical case notes, including PIRTS and Medical Check Lists.
Assist with other duties as directed by the Senior Human Resources Manager or General Manager - Northern Territory.
To be successful in this role you will have the following: Identify as Aboriginal or Torres Strait Islander.
A sound knowledge of Indigenous culture, society and kinship networks.
The ability to effectively communicate both verbally and written, with all levels of staff, customers, suppliers and visitors in an attentive, courteous and service orientated manner.
Reasonable computer skills.
A willingness to be trained in all areas of administration within Northern Operations.
A willingness to be trained in general office duties e.g.
photocopying, mail collection, answering calls, meeting and training organisation.
A proactive approach to the work and teaching environments for successful completion of Certificate III in Business Administration.
Hold a current Driver's Licence.
Desirable Completion of Year 12.
Experience with Microsoft Office (Word, Excel, PowerPoint and Outlook).
