Job Description
This role is responsible for providing high level administrative support to the Legal Team and CFO and other EMT as required to ensure the smooth functioning of the executive's office, supporting their day-to-day activities in an effective and efficient manner.
This position is offered on a full-time basis, working at our West Perth office. Your main duties and responsibilities will include (but are not limited to):
Legal Assistant Assist with the management of the Corporate Calendar with various executive meetings, events and movements to ensure it is kept up to date and accurate; Management and planning of Executives' calendars (including scheduling and preparation of meetings) to ensure they are kept up to date and accurate; Assist the team with drafting and preparing legal documents; Manage confidential and sensitive documentation with appropriate discretion; Payment of executive, legal and office invoices, raising purchase orders, managing credit card reconciliations and expenses; Contract management for legal team; Monitoring and maintaining email accounts; Managing travel for Directors, Legal Team and CFO; Undertake confidential research activities as required; Co-ordinate board and committee meetings and liaise with Non-Executive Directors on various matters as required; Filing and drafting of client and internal documents; Facilitating the preparation and approval of the Board pack for Board and Committee meetings, including management of Diligent; Providing support during Board and Committees meetings; Maintain various company secretarial registers. Finance Assistance Formatting of documents (e.g. monthly flash, management accounts, Board papers, policies and procedures etc.), assistance with reporting timetables and other adhoc support, as required.
General Office Admin Answering and directing incoming telephone calls to appropriate personnel or taking and passing on messages; Managing meeting room calendars and bookings; Maintaining appropriate records for example updating internal telephone directories; Providing accurate, timely and high-level administrative support to the wider team as required from time to time; Provide assistance with formatting and presentation of ASX releases and investor presentations; Liaising with building maintenance personnel; Write and distribute email, correspondence memos, letters, faxes and forms; Maintain filing systems; Undertaking other general administrative tasks as directed; Ad hoc support of reception cover when necessary. Desired Skills and Experience
Key Skills / Qualifications / Experience / Competencies :
Four or more years of experience in an administration role reporting directly to upper management; Knowledge of office management systems and procedures; Intermediate Microsoft Office skills (i.e. Excel, PowerPoint, Outlook, Visio and Word); Familiarity with Diligent; High level of attention to detail; Proven ability to work effectively in a team and apply strong initiative and personal judgment to solving problems with minimal supervision; Demonstrated interpersonal skills, including tact and diplomacy, the ability to maintain confidentiality and the ability to liaise effectively with a wide range of people on complex and sensitive issues; Excellent communication skills, including the ability to communicate verbally and in writing in a clear and concise manner; Highly organised and efficient; Demonstrated willingness to assist and provide support; Self-starter with ability to multitask and liaise with personnel; A demonstrated commitment to the highest levels of service, with a willingness to go above and beyond; Strong time-management skills and an ability to organise and coordinate multiple concurrent projects; Flexible approach to change in role scope and responsibilities.
