We are seeking a highly organized and detail-oriented Bookkeeper/All-rounder to join our dynamic team, an award-winning architectural and interior design practice. This role will provide essential support to our management team, ensuring accurate and timely financial records for the practice and financial project performance.
The successful candidate will play a key role in maintaining day-to-day financial operations, including managing invoicing and accounts payable/receivable, running fortnightly payroll, and supporting financial reporting processes. In addition to the finance-focused tasks, the successful candidate will have a willingness to assist across broader administrative tasks to ensure the overall smooth running of the practice.

Key Responsibilities Accounts Payable & Receivable:Consult with project leaders to prepare client invoices in line with project milestones or hourly agreements – generally monthly.Send client invoices and be the primary contact for accounts related issues.Follow up on overdue accounts and assist with collections as necessary.Reconcile accounts receivable aging reports and assist with resolving discrepancies.Process vendor invoices and payments in a timely manner, ensuring all transactions are accurately recorded in the accounting system.Reconcile daily bank transactions and statements to ensure all transactions are correctly recorded.Identify and resolve discrepancies between bank records and internal financial data.Payroll Support:Coordination with staff to ensure timesheets are completed accurately and in a timely manner.Prepare fortnightly payroll, ensuring accuracy and compliance with applicable tax regulations and company policies.Process employee expense claims and ensure they align with company guidelines.Prepare and process monthly superannuation.Maintain accurate and up-to-date financial records, ensuring that all transactions are documented and filed appropriately.Prepare reports and summaries for the Directors and Practice Manager, including monthly and year-end financial reviews.Assist with the preparation of financial statements and reports as requested by senior management.Tax and Compliance Support:Prepare ATO PAYG, BAS, Payroll Tax and other tax-related documentation, ensuring compliance with relevant regulations.FBT and GST reconciliations.Provide financial information for external accountants.Assist in tracking project budgets and costs, ensuring that financial records are aligned with project timelines and budgets.Help ensure that client billing is completed accurately and on schedule.General Administrative Support:Assist with administrative duties, including but not limited to general correspondence and record management.Support the Practice Manager in budgeting and forecasting activities.Help manage office expenses and ensure that spending aligns with the practice's financial goals.Managing usage of company cars (entering km data), cab charge register, petty cash and banking.Assist with answering telephone calls and welcoming visitors (clients, suppliers, couriers etc.).Qualifications & Skills Experience:Proven experience (7+ years) in bookkeeping or finance assistant roles, preferably within a professional services environment (architecture or construction industry is a plus).Experience with Xero accounting software required.Familiarity with ArchiOffice invoicing/timesheeting/project management software would be favorable, but not required.Education:A relevant qualification in accounting, finance, or business administration or similar.Skills:Excellent organizational and time management skills, with the ability to prioritize tasks effectively.Strong attention to detail and accuracy.Excellent communication skills, both written and verbal, with the ability to work well within a team.Good understanding of balance sheet, P&L and cashflow reporting.Strong Microsoft Excel knowledge, for financial reporting and data analysis.A proactive and problem-solving attitude, with the ability to handle multiple tasks and deadlines.Interest in or knowledge of the architectural industry or creative professional services.Experience with project-based accounting or time-tracking systems.Personal Attributes Strong work ethic and integrity, with a high level of professionalism and confidentiality.Self-motivated with the ability to work independently as well as part of a collaborative team.A keen eye for detail and a commitment to maintaining accurate financial records.Ability to adapt in a fast-paced, dynamic work environment.Willingness to learn and grow within the role.Why Join Us?
