EOI Executive Officer to the Chair and Chief Executive Officer Provide high level executive, secretariat, and administration support to the Chief Executive Officer and the Chair. Position Details Position Classification: AO6 BI ($95,864- $107,167)Location: Batchelor & Charles Darwin UniversityReporting to: Executive Officer, Deputy CEO Operations and Deputy CEO Academic and Student ExperienceLicences: Applicants must have an Ochre Card and a current Police Check and/or the ability to obtain these prior to commencement.Required Qualifications: Original certified copies of qualifications must be supplied.Tenure: Fixed Term Full Time 12 monthsApplications close: 8 December 2024 Purpose of the Position The primary objective of this position is to provide high level executive, secretariat, and administration support to the Chief Executive Officer and the Chair. This is done on a daily basis through diary management, preparation of reports, coordinating travel and accommodation arrangements, developing good administrative systems and assisting the Chief Executive Officer and the Chair with administrative tasks on key projects. Duties Manage correspondence for the Chair and the Chief Executive Officer and initiate and monitor progress on responses, projects and tasks allocated to other employees to ensure deadlines are met. Anticipate needs, coordinate and provide assistance with relevant papers/briefings prior to meetings. Prepare correspondence for the Chair and the Chief Executive Officer's signature. Liaise with and respond to enquiries from external stakeholders, members of the public and all levels of staff to provide appropriate advice on the Institute's functions and activities. Advise Institute staff of relevant decisions taken by the Chief Executive Officer. Assist with the efficient day-to-day administrative operation of the Chair and the Chief Executive Officer's office by developing and maintaining appropriate procedures and systems and providing assistance to other staff when required. Manage travel bookings and accommodation. Actively contribute to a culture of achievement within the Institute and develop and maintain effective collaborative relationships with a diverse range of stakeholders. Maintain effective governance and reporting systems in all areas of responsibility and adhere to required work, health, and safety requirements. Other reasonable duties as directed by your line manager. Selection Criteria Demonstrated ability to work effectively in culturally diverse teams within the social, political, and cultural environments of Aboriginal and Torres Strait Islander families, communities, and organisations. Proven ability in providing administrative support and advice at an executive level in a challenging environment including:Maintaining high levels of confidentiality; Organisational and time management skills, prioritising competing requirements, and meeting critical deadlines; Maintaining professional relationships with senior people in the Aboriginal community and organisations, in the public and private sectors and other Batchelor managers. Demonstrated research capacity to prepare high quality complex correspondence, submissions, and papers. Demonstrated written and oral communication skills in a diverse environment including the ability to effectively communicate with Aboriginal and/or Torres Strait Islander people. Proven ability to work independently and as part of a team, use initiative, adapt to change, and be self-motivated in high pressure situations. Extensive knowledge in computer systems including word processing, spreadsheets, email, records management, database and major business systems. A sound knowledge of the principles of equity and diversity, occupational health and safety, and records management. Selection Criteria – Desirable Ability to quickly acquire knowledge of the Institute's structure, functions, and objectives. Relevant tertiary qualification and/or certificate or diploma in business administration or previous executive/administration experience.
