The SAASVHAC Administration officer reports to the Project Coordinator, Volunteer Support Unit and is responsible for the provision of Executive Support to the SAAS Volunteer Health Advisory Council (SAASVHAC).
The position will ensure SAASVHAC meetings are managed effectively by preparing and distributing all documents relating to SAASVHAC meetings, including travel and accommodation bookings for SAASVHAC representatives.
The incumbent will ensure that all action items are followed up and reported on in a timely manner.
A key component of the SAASVHAC Administrative Officer will be to attend meetings for the purpose of recording accurate minutes and to ensure these records are maintained.
Flexible hours/days but must be available on a Friday.

Key Responsibilities:
Prepare and distribute all documentation relevant to SAASVHAC meetings, including agendas, minutes, summaries, and action lists.
Manage administrative aspects associated with meetings, including arranging venues, catering, equipment, and liaising with attendees and presenters.
Monitor and manage the SAASVHAC election processes and report on nominations to the Minister.
Gather and compile data and statistical information relating to SAASVHAC projects and initiatives.
Ensure effective flow of information and communication regarding SAASVHAC decisions to relevant stakeholders.
Administer records management of the VSU and SAASVHAC, utilizing Objective and Better Impact systems.
