Primary objective: Under the direction of the Public Guardian and Trustee (PGT) and with guidance from the Deputy Public Trustee, manage the team responsible for the administration of deceased estates and will services, to provide an appropriate, efficient and effective service. Monitor the work carried out by the team and provide reports on performance.
Key duties and responsibilities: Provide effective leadership including supervision, constructive performance feedback and support to members of the estate team. Manage customer enquiries in relation to potential new estate matters, allocation of estate files to estate officers and in consultation with the Deputy Public Trustee manage team workloads and performance. Provide high-level advice and training on all aspects of estate administration and wills to the team and other staff. Undertake audits and reviews of estate files and maintain high quality estate administration processes. Maintain reporting systems to inform business strategies of processes by capturing critical data, analysis of emerging trends, identification of anomalies and risks. Develop, and review policy, procedures and implement management strategies to ensure service standards are consistently meeting expectations and enhancing the customer experience. Administer estates of significant complexity, comply with best practice and identify potential contentious/litigious matters. Actively participate as a member of the PGT management team, contributing innovative ideas and solutions to all aspects of business. Respond positively to change with a commitment to ongoing improvement and professional development, act professionally at all times and operate within the boundaries of agreed policies and procedures. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in order to ensure high quality, safe services and workplaces. Selection criteria: Essential: Demonstrated leadership skills with the ability to motivate and manage positive relationships with the team, colleagues and clients. Knowledge of, or the ability to quickly attain knowledge and understanding of, the Public Trustee Act, Wills Act, Administration and Probate Act, Guardianship of Adults Act, Trustee Act, Advance Personal Plan Act, and Powers of Attorney Act, and ability to interpret related legislation. Knowledge and understanding of estate and trust administration, supported decision making and relevant regulatory frameworks including taxation principles relating to estate and trust administration, or demonstrated ability to learn quickly. Demonstrated advanced communication abilities including fostering and sustaining productive relationships, forming collaborative partnerships with various internal and external stakeholders and handling difficult situations with tact and sensitivity, including effective interaction with individuals from diverse cultural backgrounds. Proven capacity to maintain high-level personal performance, adaptability, flexibility and resilience to deliver effective outcomes in a timely manner including the ability to manage pressure and meet deadlines. Proven capability in gathering, analysing and presenting data on business operations through an evidenced based method to provide appropriate strategic and operational advice to management.
