Work with a local government organisation providing high level executive support to the Project Manager to support in project deliverables.
Your New Role:
As the AS05 Executive Assistant, you will be providing high level executive support to the Project Manager to support in key State Government deliverables. You will be highly experienced in administrative management duties such as inbox management, diary management, arranging meetings, booking travel and processing relevant account. A keen sense of task prioritisation and the ability to provide operational support is key to success in this role.
**Please note - this is a 4 week contract opportunity with potential extension options***
Key Requirements: As the AS05 Executive Assistant, you will be required to perform the deliverables below:
Provide executive and administrative support to the Project Director and the Deputy Project Director, including inbox management, diary management, arranging meetings, booking travel, processing accounts using the relevant finance system, reconciling expenditure and other business support needs as required.Monitor and prioritise tasks and activities for the executives, including incoming correspondence and refer to appropriate areas for action. Monitor correspondence tracking systems to ensure quality control and timeliness of responses is maintained. Coordinate responses on a range of issues in an efficient manner, as required.Provide administrative, business and operational support to the Project Team, including acting as a first point of contact for enquiries, liaising with internal and external stakeholders, consultants and government officials, implementation and tracking of the Project's key actions and activities.Track and manage the workflow for the Project Team. This includes quality control of items being provided for executive clearance, ensuring that all correspondence, briefs and other documents have the appropriate level of information, approval flows, read clearly and are provided within agreed timeframes.Provide secretariat function to various Project committees, including recording minutes, recording/tracking the status of actions from each meeting; coordinating, preparing and distributing documentation for meetings; maintaining, updating and ensuring all members have an up-to-date copy of the relevant Terms of Reference.
