About the Role Aramex international operations has an exciting opportunity for an experienced Import Air Operations Representative to support the processing of Inbound air freight in the depot, including communicating with internal Aramex international departments, providers (Airlines, CTOs, Freight forwarders and Brokers) and customers, to effectively create and support all Inbound functions.
Key responsibilities include: Customer Communicate with Origins, customers and customer service team regarding Held shipments Update Customers with Held reason via Emails and phone calls Chase correct contact information for consignees People Collaborate with the Customer service team to achieve goals and objectives Facilitate the flow of information within the team Build and maintain relations with organisational peers and other stakeholders Provide regular commentary on job tasks Use a documented approach to case reviews Operations Monitor Inbound pre-alerts & report flights to The Australian Border Force via our reporting systems and Australian Border Force Integrated Cargo System (ICS) Raise Permits as required Participate in the weekend work on a rotating roster as required Process documents efficiently and promptly to ensure they are correct and are properly entered into operations systems. Ensure all Customs status updates are reported and updated across all systems Assist the Regulatory authorities with their requests Print Customs status report/s by flight upon receipt of freight Ensure correct customs procedures are adhered to when processing Report all discrepancies in required systems (ie Shortlands/Surpluses) Ensure MAWB's are reconciled in a timely manner Support and solve skeleton by acquiring HAWB copy and emailing origins Update amendments as required Ensure all pre-clearance pre alerts are actioned in time to meet service requirements Manage incoming telephone enquiries plus the management of Voicemail and Email. Ensure all paperwork is finalised by flight prior to hand over to warehouse staff (eg CC Change of address details etc) Liaise with new customers and ad-hoc customers to obtain LOA / Invoices / Proof of Purchase / Receipts etc Follow up origin and or receiver for information/paperwork to assist with Customs Clearance Ensure paperwork for cleared shipments are updated and processed efficiently to ensure shipments are released to meet next available local line haul Process freight collect shipments for all Networks Ensure all relevant information is forwarded to the Finance / Revenue Dept for processing and billing Utilise KPI reports to ensure 100% compliance – Bond Scan Assist in the scanning & sorting of Inbound freight when required Identify road blocks to performance and work with the team and management to overcome obstacles Monitor Inbound Pre-alerts, including MAWB reconciliation Work Bond report daily and achieve daily KPI Ensure high levels of satisfaction to retain customers Communicate any opportunities to management that can include: Limiting costs Email audit trail Most efficient ways to address workloads Controllable expenditures Attitudes and Behaviours Effective communication, both written and verbal. Maintains consistent and professional work standards Flexibility to operate in a dynamic and changing work environment. A positive attitude towards change and recognising that it is continuous and ongoing A can do attitude and team player To be successful in this role: Minimum 2 years experience in a similar role Have experience in The Australian Border Force – Integrated Cargo System (ICS) and able to successfully obtain an ICS user license Have experience in reporting inbound airfreight MAWBs via an interface reporting system You are able to work a 7 day rotating roster Experience in dealing with the airlines, airport CTOs, internal and external customers etc Experience in Air Freight Inbound movements Experience in dealing with road transport companies Analytical and problem solving approach Exceptional time management skills Proficient in Microsoft office Proficient in Outlook email Proficient in automated administration systems and manual administration documentation Physically fit for the role as RF scanning and package movement will be required during your working shift Able to generate and read reports If you think this would be a great opportunity for you, please apply today by submitting your cover letter and CV.
