The Executive Assistant to Deputy CEO, Chief Operating Officer is responsible for providing confidential and high-level executive assistance through the delivery of high quality administrative, organisational and support services including diary management, meeting coordination, document preparation and records management. The Executive Assistant is a primary point of contact for the Deputy's office and must represent and promote their values at all times.
Key responsibilities will include providing executive support to the Deputy CEO by:
Working closely with the Deputy CEO's Executive Officer to support the effective and efficient functioning of the Office of the Deputy CEO. Assisting with the preparation of reports, correspondence and submissions. Filtering, recording, monitoring and prioritising incoming and outgoing email and writing correspondence. Maintaining the diary and appointment arrangements, including coordinating a range of meetings and activities and organising Deputy CEO travel. Act as a point of contact for the Deputy CEO office for enquiries and approaches from Commonwealth, state and territory partners, industry, academia, the media and the public. To be successful in this role, you will demonstrate the following experience, skills and attributes:
Demonstrated organisational skills, including an ability to prioritise work tasks effectively and anticipate the needs of the Deputy given the dynamic and fast-paced environment. Excellent written and oral communication skills, including the ability to draft documents based on existing material or through research. Excellent interpersonal skills, including the ability to develop and maintain productive working relationships both internally and externally. An ability to prioritise tasks, be flexible and demonstrate the ability to maintain a calm approach while working under pressure and managing competing priorities. An ability to take initiative to improve current processes and practices to ensure efficient functioning of the Deputy's office. A professional approach at all times, operating within the boundaries of organisational processes with a high level of confidentiality and discretion. An interest in the work of the ACIC is highly desirable, as is previous experience in supporting senior executives in a fast-paced, high-volume and pressured professional working environment.
