Job Advertisement: Executive Assistant - Specialist Advice and Services Division (SASD) Start Date: ASAP Duration: 6-8 weeks with possibility of extension Location: Sydney About the Role The Executive Assistant role, reporting to the Assistant Director of the Coordination and Support team, is part of an inclusive and dynamic team.
You will provide high-level executive and administrative support to senior executives, as well as assist the wider division with various duties.
This position is ideal for someone who can effectively prioritise tasks in a fast-paced environment and adapt quickly to shifting demands and tight deadlines.
The role requires strong communication skills, professionalism, and the ability to build and maintain positive relationships in line with agencies policies and the APS Code of Conduct.
The successful candidate will be organised, reliable, detail-oriented, and able to work collaboratively with colleagues across Australia.
An interest in the work of the agencies and experience in supporting senior executives in high-pressure environments is highly desirable.
Key Responsibilities Under the guidance of the Business Support Coordinator, your duties will include: Providing executive and administrative support to senior executives Managing multiple complex diaries and ensuring timely preparation for meetings and engagements Maintaining accurate records and adhering to business systems and clearance processes Handling budgeting, invoicing, and expense reconciliation tasks Answering queries and responding to emails on behalf of senior executives Managing documents (proofreading, drafting, editing, collating) Coordinating travel arrangements Supporting secretariat duties, including agenda preparation, minute-taking, and document distribution Performing other duties to support the Division as required The ideal candidate will possess: Extensive experience as an Executive Assistant to a senior executive Strong judgement and problem-solving skills, with the ability to interpret and apply policies and procedures High-level organisational skills with excellent attention to detail The ability to lead projects, identify issues, and propose solutions strategically A sound understanding of the agency's functions or the ability to quickly acquire it Expertise in office technologies and software, including Microsoft Office Suite, Finance, and iManage How to Apply If you are a highly organised individual with a passion for supporting senior executives and a keen interest in the work of the Federal Government please click on the apply button or alternatively please email your CV to ****** ''
