This pay rate is inclusive of mandatory 25% casual loading About the Role: We are seeking a highly organised and proactive APS5 Executive Assistant to provide comprehensive administrative support to the Head of Division, working at a large Government Agency based in Canberra.
This role is integral to the smooth functioning of the division, requiring a high level of discretion, judgement, and confidentiality.
You will work collaboratively with other Executive Assistants, and you will also provide guidance to other EAs within the division.
Key Responsibilities: Manage and maintain the Senior Executive's calendar, Schedule meetings, book meeting rooms, manage guest logistics, and handle in-person and virtual meeting arrangements.
Monitor and manage the email inbox, respond to meeting requests, and ensure deadlines are met by following up on information.
Book travel arrangements, reconcile expenses, and manage receipts.
Assist in organising events Foster a positive divisional culture by supporting team-building initiatives and events.
Manage coordination requests requiring senior executive approval and ensure timely responses.
Your Experience and Skills: Proven experience in providing high-level administrative support in fast-paced environments, ideally in senior management offices.
Experience working within the APS as an Executive Assistant Sound knowledge of the Microsoft Office applications (Outlook, Word, Excel, PowerPoint Demonstrated ability to handle confidential information with discretion and professionalism.
Strong communication and interpersonal skills, with the ability to build positive relationships across teams and with senior executives.
Excellent time management, organisational skills, and the ability to adapt to changing priorities.
High initiative and the ability to anticipate needs and manage multiple tasks effectively in a dynamic environment.
Minimum Baseline Clearance required.
