APS5 Executive AssistantCanberra ACT, Newcastle NSW
There are two APS5 Executive Assistant (EA) positions available in JSA. The first is located in Canberra reporting to two Deputy Commissioners. The second is located in Newcastle, reporting to an Assistant Secretary.
The EA is responsible for providing high-level executive support and office management. The EA is the primary point of contact and must always demonstrate and uphold the Australian Public Service (APS) Values. The EA is required to work collaboratively with the JSA executive and executive support team to provide advice and assistance to internal and external stakeholders to support the broader priorities of JSA.
The key duties of the position include:Managing the office of the Deputy Commissioners/Assistant Secretary, including the effective management of information flow.Providing high level secretarial support, including preparation of routine correspondence, screening telephone calls and emails (and directing queries to relevant officers), photocopying/scanning and filing.Managing multiple inboxes, diaries, travel and meeting preparations including organising venues, catering and preparation of material and minute taking as required.Assisting with the division's financial management including processing of accounts payable, management of Corporate Credit Card accounts, and quality assurance and approval of travel in Expense8.Anticipating the needs of the Deputy Commissioners/Assistant Secretary while assisting and working with the Executive Officer to ensure that all tasks, briefings and correspondence are managed appropriately, ensuring deadlines are met.Communicating and liaising with staff at all levels within JSA as well as internal and external stakeholders.Guiding and mentoring branch APS4 Executive Assistants.Other duties as specified by the Deputy Commissioners/Assistant Secretary.Please note, under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the APS unless the Agency delegate has agreed, in writing. This is a designated security assessed position. The successful candidate will have the ability to obtain and maintain a NV1 security clearance.
This selection process may be used to establish a merit pool. The pool might be accessed to fill ongoing and non-ongoing vacancies for similar roles in the Department over the next 18 months.
