Executive Assistant roles in Services Australia (the agency) provide professional administrative support to Senior Executives (SES) and their business areas to enable them to effectively carry out their duties.
These roles require high levels of professionalism, discretion, tact, and diplomacy in dealing with sensitive and/or confidential matters. These roles are typically fast-paced with rigid timelines, and work may be required outside normal work hours on occasion to meet peak work demands.

You will work closely with our Executive Assistant and Executive Officer networks to build on your skills and identify learning and development opportunities that support your professional growth and career advancement within the agency.
Executive Assistants work closely with and in the same location as their Senior Executive. Candidates will be asked to select a location preference in the application and should only choose a location where they can physically attend and work from.
You will be responsible for: Management of Microsoft Outlook calendar including coordination of meetings and appointments for a SES officer and ensuring your SES has all information and documentation for upcoming meetings. Preparation of information to support the SES with their meetings, providing secretariat support to meetings, committees, and working groups as required. Correspondence tracking and management: triaging emails and responding to enquiries where appropriate, collation and follow up of information, and tracking of high-volume activities to ensure deadlines are met. Provision of administrative support such as: preparation of briefs, reports, minutes, and other correspondence, records management, financial management, organising meeting rooms, venue and travel arrangements. Actively managing and promoting professional relationships with internal and external stakeholders. Our ideal candidate will successfully manage competing priorities by being highly organised, adaptable, and having excellent attention to detail. You will be a self-starter who uses your initiative and works well under pressure in a fast-paced environment.
You'll be highly competent in the use of Microsoft Office suite, particularly in calendar scheduling and email management.
Your professional communication skills are demonstrated through your ability to successfully establish and maintain stakeholder relationships across a wide audience, connecting to people working in varying locations across the agency.
Our ideal candidate will either have prior experience in an Executive/Personal Assistant role or transferable skills from roles in fields such as administration, reception, customer service, real estate, travel, or retail. Previous experience providing support to senior executives will be highly regarded.
