Who are we looking for? We are looking for an organised and pro-active Facilities Systems & Administration Coordinator to provide high-level administrative and business systems support to our Facilities Team, overseeing daily activities and improving processes.
You'll have a keen eye for detail and take a customer-centric approach – always willing to follow up. You should be a strong communicator with excellent written and verbal skills and enjoy working both independently and as part of a small team.
Leveraging your expertise in administration, business and facility management principles, you'll seek out and implement process and efficiency improvements, from creating templates to setting up maintenance schedules and generating detailed reports.

What can you expect to be doing? Lead by example: Oversee day-to-day activities, provide leadership to the Facilities Administrator, manage enquiries, and champion a positive work environment. Ensure operational efficiency: Manage asset data, coordinate work orders, and assist with facilities-related financial processes. Systems Management: Maintain efficient administrative systems and act as the primary contact for implementing, updating, and integrating facility systems in consultation with ICT. Asset and Data Management: Maintain asset and data collection registers and procedures, ensuring accurate and up-to-date records. Cultivate strong stakeholder relationships: Build and maintain positive relationships with internal and external stakeholders, ensuring everyone is informed and supported. What do you need to bring? Qualifications or significant experience in business administration, facilities management, property management, operating systems or equivalent industry experience. Demonstrated experience within a multifunctional Administration position. Knowledge of facility management/maintenance principles related to building services, fire, security, and aged care. Well-developed computer skills, including intermediate levels of Microsoft Office suite and SharePoint. Desirable: familiarity with Technology One or similar facility/asset systems.
