About the Role: Work as part of Melbourne Polytechnic's AMEP and SEE contract management team, working in a flexible and collegiate manner to ensure that the Commonwealth Government requirements of the contracts, along with institute policies and procedures are implemented.
This position also ensures that effective and efficient administrative support is provided to a high volume of internal and external stakeholders and clients, and that Melbourne Polytechnic's position as the prime contractor with the Commonwealth Government for the AMEP and SEE programs.
This position will work as part of a team that provides administrative support to both the AMEP and SEE program, with a particular focus on the AMEP contract management across five contract regions.
This position is expected to provide high level customer service, while maintaining the strictest confidence of information regarding the person records of clients, subcontractors, and other materials.
Duties: Provide high-level administrative support to the AMEP and SEE contract management team in matters relating to the operation of contract functions.
Collaborate with internal and external subcontractor administration staff to assure consistency of administrative systems across the institute, and across subcontractors.
Ensure relevant and current program information is available on the staff and student portals, including the Melbourne AMEP and Northern SEE websites.
Provide basic finance administration, including processing tax invoices, purchase orders, and prompt payments.
Communicate effectively with prospective and current clients to provide course information, advice, and enrolment support.

Skills and Experience Required: Appropriate formal qualifications and/or extensive experience in administrative support roles preferably in an educational setting, including basic book-keeping.
Demonstrated ability, commitment and attitude to the provision of high-level customer service to all internal and external clients, preferably in an educational setting.
High level computer literacy including Microsoft Office Suite and the internet including: drafting and formatting documents, producing Excel spreadsheets and databases, data entry for government databases, reports and correspondence; production of PowerPoint presentations; mail-merges and mail outs.
Demonstrated high standard of administrative and organisational skills including skills in the implementation and maintenance of administrative and quality systems, including financial.
Demonstrated ability to work independently and effectively during peak periods.
Highly effective interpersonal and communication skills and a proven ability to work within an environment requiring the use of tact, discretion and confidentiality.
