THE ROLE
This position is responsible for liaising and working with our team of Project Managers to conduct contract administrative duties required by specific building contracts.
The primary responsibility of this role is to ensure that the company is adhering to head contract requirements and that subcontractors are adhering to the requirements set out by the subcontract.
In doing so the employee will assist in minimizing the company's exposure to contract risk, particularly in relation to time, cost and quality.
RESPONSIBILITIES
Complete project specific administrative duties in accordance with AE Hoskins Building Services processes.
Use tender pricing to develop procurement budgets and establish project specific procurement schedules that ensure that subcontractors and materials are procured in a timely manner with respect to the project schedule.
Create, manage and maintain projects in Job Management software.
Procurement of subcontractors, materials and internal trades in accordance with AE Hoskins Building Services processes.
This includes but is not limited to, obtaining quotes, undertaking quote reviews, completing quote comparisons, developing scopes of work and letting subcontracts and purchase orders.
Organize, compile and submit contract specific start up documentation to clients and ensure that subcontractors are providing documentation required by the subcontract prior to commencing works.
Develop progress claim schedules and undertake progress claims in accordance with head contracts.
Assess subcontractor progress claims.
Management of RFI's, Variations, NOD's, EOT's & Site Instructions, including the maintenance of specific registers.
Assist the Project Manager in undertaking cost control, monthly reporting and forecasting of projects.
Build relationships with key vendors (subcontractors, suppliers, engineers etc.).
Provide consultation on project planning (schedules, manpower needs etc.).
Develop positive proactive relationships with internal and external stakeholders.
Perform general duties as requested by our Project Managers and/or Construction Operations Manager.
IDEAL CANDIDATE
5+ years experience in Building or Construction.
Strong understanding of commercial construction processes / detailed knowledge of building techniques & project sequencing.
Highly organized with a proven track record in contracts administration within the commercial sector.
Ability to read/interpret construction plans, specification documentation & finishes schedules.
Project planning skills and knowledge of planning/project management tools.
Previous experience/familiarity with take-off software, such as Plan Swift.
Competent in the use of Microsoft programs; Excel, Word, One Drive, Project.
Ability to work both autonomously & in a collaborative team environment.
Disciplined / methodical approach to work.
Exceptional time management & ability to reach deadlines.
The ability to communicate effectively with a variety of stakeholders, with a solid focus on maintaining positive relationships.
