Our client is a reputable and progressive Financial Planning Practice with multiple office locations. The team of Financial Planners and support staff are dedicated to helping clients achieve their financial goals and quality lifestyle. Due to an internal promotion, we are seeking to appoint an experienced Receptionist / Admin Assistant ideally from within a Financial Planning environment to meet and greet clients whilst helping to support the Financial Advisers with their ad-hoc administrative tasks.
Your responsibilities will include:
General Receptionist duties, including answering and redirecting telephone calls in a timely manner. Being the first point of contact for clients, directing clients to meeting rooms, meeting room preparation. Preparation of client information and meeting packs for client meetings. Management and reconfirmation of client appointments. Maintain files and database records (Xplan). Perform all relevant administration tasks supporting the Financial Planner. Assist clients with their inquiries. Prepare review paperwork for Planner/client review meeting. Update of client information on CRM. Manage stationery and postal duties. General ad-hoc tasks. This is a diverse role which will provide you with the skills to progress your career within the company. To be successful in securing this great opportunity we are seeking a self-motivated and experienced Receptionist with excellent communication skills who is well presented, organized, and keen to learn. You will enjoy working as part of a team and have the following attributes:
The ability to build and maintain effective relationships with clients and the team. Good organizational skills, able to prioritize and schedule work activities in a busy environment. Excellent written and verbal communication skills with a high attention to detail. Well presented with a polite telephone manner, always willing to help and achieve positive outcomes. Experience using Microsoft Office Suite. Ideally completing a Tertiary qualification within Financial Planning, however not essential. Enjoy working in a fun and social team environment.
