Location: Barton, ACT Application Closing Date: Sunday 27 October by 11:30pm AEDT Classification: APS Level 6 ($94,715 - $106,438) Employment Type: Ongoing & Non-ongoing (for a period of up to 12 months) This role is being advertised as both ongoing and non-ongoing, with the employment type to be determined in negotiation with the preferred candidate and the PM&C delegate. Where a non-ongoing specified term is offered, this would be for an initial period of up to 12 months, with possibility of extension up to a maximum period of two years. A non-ongoing offer may result in conversion to an ongoing offer of employment, however this must occur within 18 months from the opening date of this advertisement. Who we are: The Governance, Performance and Audit (GPA) Branch is a small, dynamic and friendly team which sits within the Corporate Division. GPA is responsible for PM&C's internal governance arrangements, this includes: Managing the annual audit program; secretariat support to the department's governance committees. Coordination of operational and strategic planning (Corporate Plan, Annual Report and Business Plans). Preparation of the Risk Management Framework, Risk Management Plan and Fraud Control Plan, fraud control and investigations, and managing the Integrity Framework. We have extensive reach across the department and work closely with the senior executive. What you will do: We are seeking a motivated, detail-oriented candidate to fill the role of Adviser, Governance Secretariat. You will work across the department to support the department's governance committees. Specifically, you will: Establish and maintain a suite of internal standard operating procedures, guidelines and templates that support the delivery of the governance secretariat function in a manner that is professional, consistent and timely. This includes maintaining awareness of the internal and external operating environment and identifying when updates may be required. Provide high quality secretariat and administrative support for the department's governance committees, including Executive Board, Operations Committee and Inclusion and Diversity Committee, to enable them to effectively perform their duties. This includes, but is not limited to: Identifying updates required to the departmental governance committee terms of reference and assist in making the required updates. Effectively managing the Governance Secretariat inbox, in line with the agreed guideline. Providing excellent customer service, including drafting accurate and timely advice to members and their support staff. Identifying and advising the Assistant Director, Governance Secretariat, of updates required to the Forward Work Plan for the respective departmental governance committees. Coordinating the distribution of meeting invitations and managing updates, as required. Drafting meeting agendas, papers, minutes, etc., that are accurate and well considered. Coordinating the compilation of digital and hard copy meeting packs and distributing these in line with the terms of reference managing meeting logistics, including room bookings, property and IT support. Assist in reviewing departmental governance arrangements to ensure they remain fit for purpose. Routinely undertake day-to-day administrative tasks, including records management. Escalate issues as required to the Assistant Director, Governance Secretariat and Director, Audit and Governance Secretariat, as required. Assist with other section and branch tasks as required. What you will bring: Relevant experience in governance secretariat will be highly regarded, but is not essential. You will demonstrate the ability to contribute to a high performing small team in a time critical environment, manage competing priorities and demonstrate a flexible approach. To be successful in the role you will demonstrate: Sound judgement, discretion and attention to detail. Strategic thinking and the ability to identify emerging issues. Highly developed written communication skills, including the ability to prepare clear and concise advice and correspondence. Excellent verbal communication, liaison and stakeholder engagement skills. Prior experience working with senior executives is desirable. Resilience and ability to perform in a rapidly changing environment and under pressure. High-level skills in record keeping and building associated systems to ensure retention of corporate knowledge. Ability to work independently, using self-initiative and drive. Eligibility: Under section 22(8) of the Public Service Act 1999 , employees must be Australian citizens to be employed in the APS unless the Agency Head has agreed otherwise, in writing. At PM&C to be eligible for this position you should be an Australian Citizen at the closing date of application, unless exceptional circumstances apply. The successful candidate must be able to obtain and maintain a security clearance, or hold a current security clearance of an appropriate level. The successful candidate will be assessed through our pre-employment screening checks, such as an Australian Criminal History Check, and will normally be subject to a six-month probation period if new to the APS or has not yet completed their probation period elsewhere in the APS.
