About the Role: As our new Administrative Supervisor, you'll be the driving force behind our administrative excellence. You'll lead a talented team, coordinating our daily administrative tasks, to assist in keeping the clinic running smoothly. Your role is crucial in maintaining our high standards and delivering exceptional service to our clients.
Key responsibilities: Supervise and support administrative staff, including managing office supplies & equipmentProvide training and direction to new administration hiresContribute to quarterly performance reviews of administrative staff by providing insights to the practice managerGreet clients, visitors, and practitioners warmly, and assist with information, direction, and appointment schedulingCoordinate and maintain the appointment calendar with accuracy, confirming and rescheduling appointments as needed to ensure smooth operationsEnsure a high standard of customer service and manage client records in compliance with privacy regulationsOversee payment processing, including invoicing Medicare, DVA, WorkCover QLD and private insuranceEnsure compliance with relevant laws, regulations, and industry standards by safeguarding sensitive client data, and following strict data privacy and security protocolsMaintain accurate records for audits and accreditation purposesLiaise between clinical staff and clientsAssist the practice manager in development, implementation and enforcement of administrative processes, policies and procedures About you: You will possess demonstrated success as a self-motivated leader, adept at guiding a small administrative team to achieve high performance and productivity, following your minimum 12 months experience in a similar supervisory role. Your proven ability to assist in developing and implementing administrative processes, policies and procedures will help your team reach KPIs and drive excellence. A proactive problem solver with a positive attitude, you will be comfortable multitasking in a high-pressure environment.
Utilising your advanced command of written and spoken English, you will be equally comfortable resolving client disputes with empathy and understanding, as you are communicating in your day-to-day functions with clients, clinicians and management. You will leverage your intermediate knowledge of Microsoft 365 and expertise in practice management systems used in allied health settings to efficiently schedule client appointments, manage clinician diaries, and utilise your strong understanding of Medicare and private health insurance billing processes. With a proven ability to maintain confidentiality, handle sensitive information with care, and deliver meticulous attention to detail, you will have a demonstrated strong track record of adaptability in fast-paced and dynamic work environments.
