POSITION: Administrative Assistant to Director of Special Education/Transportation – 1.0 FTELOCATION: Central AdministrationSALARY: Per AFSCME contractWORK YEAR: 12 Month Calendar – 260 daysSTART DATE: August 5, 2024REPORTS TO: Director of Special EducationAPPLICATION DEADLINE: July 8, 2024 General SummaryIn accordance with the established policies and procedures of the East Lansing Public School District, the Secretary to the Director of Special Education provides secretarial and administrative support to the Director of Special Education and special education staff, as well as support for the transportation supervisor.
About the Role Screens phone calls from parents of potential special education students, determines area of concern, and refers to appropriate personnel.
Processes paperwork for referrals and placement of students requiring special education services in the East Lansing School District, as well as other districts in Ingham County.Receives and processes IEP paperwork and maintains special education files for active and inactive special education students.Maintains two special education student registry management systems (MIPSE and Power School) for data entry of special education student records.Prepares October/February Count and EOY Submission student enrollment reports and requisite county, state and federal reports for reimbursement to school system.Assists staff with troubleshooting of Medicaid logging using MIPSE.
Assists ISD staff in all aspects of East Lansing staff involved in Medicaid reporting activities.Arranges transportation for special education students through Dean Transportation and the ISD routing office.Facilitates the work of committees (i.e., makes physical arrangements; locates and orders materials; sends out meeting notices; prepares agendas, minutes, surveys, drafts, etc.).
Prepares in-service and staff development materials and distributes to appropriate personnel.Maintains financial records for departmental budget and posts expenses to proper accounts.Prepares student files for archiving, and provides copies of records when requested by students, parents, staff, other districts/organizations, and correctional facilities.Orders instructional supplies.
Checks in and distributes orders upon receipt.Processes mileage reimbursements for special education staff.Maintains records of conference requests and processes check and reimbursement requests.Updates list of students with 504 plans and posts data in PowerSchool.
Receives requests for 504 referrals and maintains active and inactive 504 student files.Sends records to requesting districts for outgoing students and requests records for incoming students.
Sends records to Disability Determination Service for families seeking social security benefits.Coordinates all aspects of MI-Access testing for the special education department and facilitates distribution, collection, and verification of M-STEP accommodation materials to special education staff.Provides McKinney-Vento families with Student Residency Affidavit packet and processes paperwork for monetary/supply assistance.
Prepares and provides backpacks to families.
Processes McKinney-Vento documentation and purchasing paperwork.
Communicates with Superintendent regarding placement of students in school buildings and communicates with parents regarding enrollment.
Maintains active and inactive McKinney-Vento student files.Acts as a liaison between the district and Dean Transportation and Ingham ISD regarding all special education and general education transportation needs.Arranges McKinney-Vento transportation and maintains records.Receives and processes Request for Transportation forms.Annually revises and distributes field trip guidelines, transportation brochures, and after-hours protocol.
Updates and distributes building contact information.Frequently maintains correspondence and makes phone contact with a variety of audiences.Performs basic office tasks including typing, copying materials, opening and sorting mail, filing, proofing, bookkeeping/accounting, phone skills and letter writing.Assumes responsibility for handling nonroutine matters by interpreting established policies, providing information and making decisions within prescribed limits and brings potential problems to the attention of the supervisor.Holds the ability to perform all job tasks with a minimum of supervision in a timely and effective manner.Performs other duties as assigned, as needed.
Education, Knowledge and Skills Required Proficient in use of: Microsoft Word, Excel, Google, Power School, MiPSE and other programs and platforms utilized by Special Education staff and transportation staff.
Training can be provided.Demonstrated ability to create newsletters and prepare written materials from an outline.Lifting (approx.
60 lbs), bending, legible writing.High school diploma plus 3 to 5 years experience in secretarial work for executive personnel, preferably in a school setting.Demonstrated ability to communicate verbally and in writing to a variety of audiences is required.Strong interpersonal skills.
