Overview
Our Sydney team is recruiting full-time Administrative Assistant to support office operations, and act as support for our wider Sydney team. This role will be based onsite in our Sydney office and is an important contribution to the office's culture and provides reception support to make our clients feel welcome in our office. This role would those who want to take a first step into their administrative career. The ideal candidate will be highly organised and proactive with the ability to manage competing deadlines. This is an important role in the team and would suit someone with a strong sense of pride in supporting an office where interesting work happens. Given people are at the centre of SEC Newgate's business, strong emotional intelligence and a great sense of humour are important. Responsibilities Office Administration Support Conducting reception duties in a courteous, efficient and professional mannerGreeting clients and visitors and ensuring their needs are tended toAssisting with day-to-day running and maintenance of the office (liaising with building management, suppliers & contractors)Manage meeting room bookings, meet and greet all visitors to the office, and ensure that meeting rooms are set up in advance of meetings and cleared and cleaned followingCoordinating meetings including organising catering, and relevant documentation where requireOrdering of weekly groceries and stationery suppliesKitchen maintenance (stocking fridge, emptying dishwasher etc.)Ensure the general office space, including the kitchen, is kept neat and tidyOrganising internal staff birthday events and managing staff anniversariesProviding ad hoc administrative support to the wider team including word-processing documents, photocopying, filing, printing, binding, processing incoming and outgoing mail and IT troubleshootingAssist in maintaining office records and managing company dataOrganise and coordinate travel and accommodation requirementsLiaise with administrative staff across all offices to ensure the business runs efficiently and effectivelyTeam Support Provide practical support for SEC Newgate projects including event logistics and assistance in the implementation of quality requirementsAdministration support for the broader Sydney team; this may include email and diary management, preparing papers and materials for meetingsOrganise team meetings and associated papers and note takingLiaise with the finance team on invoicing for Sydney projectsManage travel arrangementsWork with the national admin team on ad hoc projects, staff inductions and other regular admin processesKey Skills and Attributes Professional presentationStrong organisational skills, ability to prioritise tasks and meet deadlinesStrong communication (verbal and written) and interpersonal skillsHigh level of attention to detail and accuracyAbility to demonstrate initiative and enthusiasmAn interest in design and formatting documents to help make us shineStrong focus on client serviceAbility to interact at all levels within the firmProactive - happy to go above and beyond the job descriptionAbility to work autonomously and as part of a teamIntermediate MS Office skills ideally including Outlook, Word, Excel, PowerPoint and MS TeamsIdeally, some experience using online digital platforms including LinkedIn, HubSpot, WordPress and TrelloWhy SEC Newgate?  We want people to thrive. We believe our people should be in the driver's seat of their growth but within a supportive environment.
