Administrative Assistant

Axxin is looking to hire an Administrative Assistant to support the Director of Technology in coordination, documentation, and management of communication with contractors and stakeholders.This role will have a strong focus on tracking and planning of projects and communication with a mix of commercial and technical stakeholders.
Varied tasks may include:
Assistance in preparation of commercial proposals and bids for technical systems.Assistance with management of facilities contractors and coordination of their move to new site.Assistance with preparation of research grant applications.Preparation of weekly project labour allocation reports.Introduction of new company systems - planning and communication.Assistance with management of suppliers.HR support and communication, improving systems.General administration, scheduling, and organisation.As part of this role, you will join our dynamic engineering and product design team based in the eastern Melbourne suburb of Fairfield.Axxin is a growing Australian technology company with global projects developing platforms and products for biomedical diagnostic applications.
Suitable candidates will have good communication and documentation skills, be well organised, and have an enthusiasm for working as part of a team.
Background in science, engineering, or administration considered favourably.Opportunities to advance within the organisation within the fields of product applications, project management, sales, and general management may be available in the future.
Typical tasks will include:
Supporting the Technology Director and Technology team with documents and reports.Issue tracking and administration tasks.Assistance with tracking and review of invoices and costs.Liaison and communication with contractors and suppliers.Scheduling and meetings, management of visitors.Preparation of weekly labour project allocations.Assistance with literature research and managing critical new suppliers.Ad-hoc and general administrative tasks as required.HR support, shortlisting, and communication with applicants for interviews.Your Profile:
Good problem-solving skills.Strong written and verbal communication.Proficiency in the Microsoft Office package, Word, Excel, PowerPoint.Strong report writing and presentation documentation capability.Organised and methodical with attention to detail and accuracy.Professional with effective stakeholder management and engagement skills.Resilient and adaptable.Effective interpersonal skills and ability to build strong, open, collaborative team relationships.All applicants must have unlimited working rights in Australia.
