Dorset HealthCare University NHS Foundation TrustWimborne Adult Community Mental Health Team are looking for an Administrative Assistant working Monday 9.00am to 5.00pm, Tuesday 9.00am to 5.00pm and Wednesday 9.00am to 1.00pm.
The ideal applicant will be used to and enjoy working in a demanding role and above all, have the ability to remain calm and resilient in a busy and challenging environment.
An administrative and/or customer service background is required with excellent keyboard skills and strong telephone reception experience. A typing/word processing qualification is required as part of the role is typing letters and reports which are dictated by clinical staff.
Main duties of the jobTelephone reception.Data entry of accurate information on patient records systems, databases, and spreadsheets.Typing clinic letters & other documentation.Some minute taking for meetings.Person SpecificationKnowledge, skills and trainingRSA Level 2, or equivalent level of IT skill.NVQ Level 2 or equivalent level of knowledge of office procedures.Min 5 GCSE or equivalent.Job specific experiencePrevious experience within a comparable role, admin and/or customer service.Organising meetings & minute taking skills.Knowledge of RiO, NHS systems.Information TechnologyIT skills, normally obtained through practice or practical training OR Demonstrable experience of using word processing, spreadsheet, database and or presentation software to RSA II or equivalent standard.Ability to remain calm and professional when dealing with challenging callers.Demonstrable ability to prioritise effectively.Able to work independently as well as within a team and adhere to sphere of responsibility.Evidence of good communication skills, both verbal and written.To show understanding of patient confidentiality.Business travelSubject to the provisions of the Disability Discrimination Act, able to travel using own vehicle on Trust business. Level 3*Additional requirementsDemonstrable skills in written and spoken English, adequate to enable the post holder to carry out the role effectively.Disclosure and Barring Service CheckThis post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
