Job Title: Administrative Associate
Onsite/WFH: Onsite 100%
Location: Tamworth
Role Overview: This position supports the entire Tamworth branch, providing crucial administrative assistance to the parts and service teams.
Job Description: The Administration Associate will be responsible for various administrative tasks, including data entry, managing timesheets, creating purchase orders, and reconciling accounts for submission to the accounts payable team.
The role involves ordering stationery and inputting data into systems that track HSE metrics, such as waste management.
The ideal candidate will coordinate documents and input data related to assigned administrative duties for teams, departments, or organizational leaders.
They will complete tasks with minimal supervision and check that contractors onsite have insurances and are compliant to come on site.
Key Responsibilities: Provide administrative support by preparing statistical reports and handling routine to complex information requests.Gather, compile, verify, and accurately enter information into reports, presentations, forms, databases, or spreadsheets.Respond to or redirect inquiries from internal or external sources regarding the organization, its activities, or processes, ensuring prompt and accurate communication.Prepare documentation for payments to vendors, suppliers, and other third parties; manage payment requests in the accounting system and address inquiries from accounts payable and payees.Document and maintain departmental policies and procedures.Participate in departmental business improvement projects and assignments as required.Perform additional routine to complex administrative tasks according to established organizational procedures and act as an informal resource for colleagues with less experience.Competencies: Action-Oriented: Tackles new opportunities and challenges with a sense of urgency, high energy, and enthusiasm.Communication: Develops and delivers multi-modal communications, understanding the unique needs of different audiences.Customer Focus: Builds strong relationships with customers and delivers customer-centric solutions.Accountability: Holds self and others accountable for meeting commitments.Planning and Alignment: Plans and prioritizes work to align with organizational goals.Data Analytics: Interprets and communicates qualitative and quantitative data, applying problem-solving approaches to drive business insights.Values Differences: Recognizes and appreciates the value that diverse perspectives and cultures bring to the organization.Qualifications: High school diploma or equivalent secondary education certification.Strong data entry skills.Experience in customer service with excellent verbal and written communication skills.Attention to detail and accuracy.Preferred Experience: 2-3 years of experience in an administrative role.Soft Skills: Strong collaboration and teamwork abilities.Ability to discern when to escalate inquiries.Clear verbal communication skills, particularly over the phone.Professional email communication skills.Systems Knowledge: Proficiency in Excel, Outlook, and Microsoft Office Suite.ADP (but any payroll experience is a plus).Certifications: No certifications required.
