Position Overview: We are seeking a diligent and detail-oriented Administrative Assistant to support our operations at Vertokitchens.com.au. This role involves a mix of administrative duties, including communication management, data entry, and coordination with various teams to ensure smooth operations. The ideal candidate is organized, proactive, and capable of handling multiple tasks efficiently.
Key Responsibilities: Communication Management: Send out reminders for booked quotes. Manage incoming and outgoing communications, ensuring timely responses and proper organization. Answer incoming calls and direct them as necessary. Lodge QBCC (Queensland Building and Construction Commission) once full payment is received. Save invoices to relevant job folders. Save medical certificates to employee folders. Maintain and update the appliances booklet and spreadsheet. Data Entry & Record Keeping: Perform data entry tasks, ensuring accuracy and timeliness. Manage records for apprentices, including QLeave submissions for new employees and annual reviews. Handle WorkCover submissions and renewals on an annual basis. Warranty Management: Track and manage warranty claims and documentation. Ad-Hoc Support: Provide ad-hoc assistance to other team members as required. Qualifications: Proven experience in an administrative role. Excellent organizational skills and attention to detail. Strong communication skills, both written and verbal. Proficiency in Microsoft Office Suite, particularly Excel and Outlook. Ability to multitask and prioritize tasks effectively. A proactive mindset and ability to work independently. Familiarity with QBCC processes is a plus.
